The Housing and Residence Life Reservationist will foster exceptional customer interactions through direct and indirect contact with residents and university community members. To ensure cohesiveness of the total Residence Life experience, the Housing and Residence Life Receptionist will work collaboratively with Centralized Scheduling, Housing & Residence Life, Marketing, OU Food Services, Property Management, Housing Operations, Residents, and University Community members to reserve, plan, and coordinate setup for events that take place within Housing spaces. These spaces include conference rooms, storm shelters, Walker/Adams mall, Cate Rock Garden, Blackbox Theater, Cross Lounges, Cross theater/performance venue, and Davenports. This position will ensure that all community spaces within Housing and Residence Life are properly reserved, booked and procedures for using these spaces are followed.
Duties:
Meeting with clients to coordinate events by reserving rooms, placing catering orders, and AV orders. Ensure the reserved space is set up according to the client's specifications. Includes customer service, coordinating event details, and interpreting and following policies.
Prepare standardized reports on a regular basis. Deal efficiently and politely with all telephone, email, internet, and in-person inquiries.
Ensure all reservations are recorded following established procedures with full and clear information and that they are input accurately and promptly into the system(EMS).
Liaise with all departments and customers to ensure the best service is provided.
Have an in-depth knowledge and understanding of available spaces, equipment, and food & beverage menus to ensure you are able to respond to customer inquiries
Required Education: GED/High School Grad or equivalent combination of education/job related experience, and
12-24 months reservationist or similar administrative experience

Ability to speak, read, and write clear concise English

Proficient in Microsoft Office
Detail-oriented for accuracy of data and information

Must be able to engage in repetitive motions, communicate, and see including color, depth perception and clarity. While performing the duties of this job, the employee is regularly required to stand, sit, hear, and use hands and fingers to operate a computer and telephone keyboard.

Light to moderate lifting is required for assistance with room setups
Ability to travel between locations to verify equipment and room setups
Frequent exposure to pressure caused by deadlines and busy periods
