Act as a supporting cast member in the Client Services Department. Assisting our Client Services Team with their day-to-day duties as well as supporting the Senior Leaders of the Team. Reports directly to the Associate Director of Client Services/Director of Client Services.
Responsibilities
Develop Exhibitor Kit manuals, including show schedule information, pricing models, freight details and customer/facility-provided forms and working with team to prepare final electronic manual for our exhibitors
Handle exhibitor list entry and subsequent updates, edits and changes
Create and manage show details in GES CORE system, ensuring all show details are added and managed for consistency and accuracy
Write, process and manage Show Organizer work orders, as necessary on assigned events
Attends show management, operations, and Show Planning meetings to ensure there is follow up in action items and effective communication between departments
Perform Account Representative functions as outlined in standard operating procedures
Perform other assigned tasks in all GES applications pertaining to Account Management functions
Acts as a liaison with show management, venue contacts, and production personnel with regard to all services
Proficiency in recurrent Show Organizer invoice auditing, ensuring all company-mandated policies are adhered to in regards to billing, pricing and contractual discounting
Partner with City Finance teams to prepare and manage monthly show financial reporting Excel tools
Assists Account Manager at show site as needed by handling a specific area or function, order entry, updating the official invoice, and assisting with association needs
Serves as in-house contact for Account Manager while they are at show site
Produce miscellaneous/small projects as needed, under the direction of the Account Manager Supervisor
Performs other duties as assigned and deemed necessary of the position under the direction of the Associate Director of Account Management and Director of Account Management
Qualifications
College degree preferred
Two (2) years' experience in the tradeshow, convention, hospitality industry or special event planning preferred
Good oral and written communication skills
Good organizational skills
Work Environment
Requires ability to adapt to multiple settings and shifting responsibilities
Must be able to work under pressure
