POSITION INFORMATION: Coordinates schedules of research patients in Phase I Research Clinic and provides clerical assistance toward the smooth operation of the facility. May serve as a team lead.
REPRESENTATIVE DUTIES:
Check In/Check Out
Greets and check in patients using excellent customer service while updating demographics, obtaining photo, and verifying insurance.
Updates delay board and patients of any delays.
Process and prints payments through the scheduling program.
Collects encounter forms and inspect the form for completeness and accuracy.
Scans/Updates insurance cards into the Electronic Medical Record software.
Able to function in Electronic Medical Records (phone notes, patient pictures, scanning insurance cards and I.D.
Prepares encounter forms and billing packets for patients to be seen.
Prepare daily batch form.
Prints physician schedules.
Schedules patient appointments, either by telephone or in person.
Obtains patient demographics on new patients and updates demographics on established patients.
Answers telephone calls and distributes to the appropriate people.
Scheduling
Manage up to five phone lines.
Knowledgeable with insurance.
Filing and Organization
Pulls new patient records/obtain archived charts as needed for patient care and/or requests medical records from other facilities.
Copies and prints medical records for patients and other providers or facilities.
Prepares inactive patient charts for storage. Maintains log of charts in storage.
Secures charts that have been sent to storage that are needed in the clinic.
Makes up new patient information packets.
Requests medical records from other facilities.
Referrals and Authorizations
Talks to patients about financial accounts/balances and collects co-pays.
Able to verify referrals on file in the patient account.
Miscellaneous
Monitors office supplies and notifies appropriate person when supplies are low and need to be reordered.
Dispenses supplies as needed.
Sorts and distributes mail and faxes.
Securing PHI by emptying shred boxes daily in a locked blue bin.
Attending and maintaining the coffee maker and water dispenser routinely throughout the day.
Keep the waiting area tidy.

Education: High School diploma or GED.
Experience: 18 months experience in a customer service role with a minimum of 6 months experience in a clinical environment.
Skills:
Customer service experience.
Ability to communicate verbally and in writing.

Proficient with Microsoft Office Suite (Word, Excel, and Outlook).
Ability to multitask and meet deadlines.
