Job Description:

Office Assistant

We are currently seekingan Office Assistantin ourChicago,ILlocation. Thisindividualwill be responsible forcoordinating thedayto dayadministrative tasks forthe office. This includes managing all visitors to the office, accepting/ shippingpackages,general office functions, managingkitchen andoffice supply needs, facility and conference room management,orderingoffice lunchesfor meetings.The successful candidate must be abletoprioritize work,work independently, provide excellent customer service andhelp tofoster a teamatmospherein aprofessional,fast-pacedenvironment.

Responsibilities

• Serve aspoint of contact for day-to-dayfacilityneedsincluding:

o Conference room management including reservations and developing a good working knowledge of the video conference/AV equipment to assist/train others whenneeded

o Ensure facility and office equipmentare in good working order at all times,scheduling maintenance asneeded

o Premises access security administrator, coordinating with the building for base-building badge assignment/ administration of our internal office securitysystem

o After-hours HVACrequests

o Visitor coordination, greet and provide hospitableassistance

o Chicago personnel list maintenance and monthly distribution/or as changesoccur

o IT serviceneeds;network/internet and cable central point of contact with internal Helpdesk/externalservice provider (as directed)

o Coordination with vendors for office services asneeded

• Work in conjunction with Receptionist to provide reception deskcoverage

o Work as a team with Receptionist to ensure reception desk is alwayscovered

o Providereception deskcoverageduringReceptionist lunchdaily

o Coordinate with Receptionistto ensuresick day and vacation coverage at receptiondesk

• Purchase andmaintain inventory of office suppliesincluding:coffee, kitchen, vending, printing, signage, tools andmaterials as well as supporting the process for review and payment of assorted vendor invoices

• Provide general officesupport

o General tasks, as needed, including faxing, copying/scanning.

o Daily kitchen upkeep and weekly refrigerator clean-out

o Food catering for meetings/events, including coordination set up/cleanup

o Dailyupkeep ofcopy andprinterareasthroughout office

• Process incoming and outgoing domestic and international mail andpackages;

o Liase with building mail room foroutgoing packages to USPS/FedEx

o Coordination of outgoing courier packages

• New hire setup

o Add new hire to anyprinter/scannercontactlists

o Coordination of security badge

o Creation of mail folder/tray

Requirements

• Outstanding customer service and interpersonal skills

• Ability to effectively interact with clients andemployees

• Excellent verbal and written communication skills

• Excellent computer and calendaring skills,includinga working knowledge of Microsoft Office Outlook, Word, Excel and PowerPoint

• Organized and detail orientated with excellent follow-throughskills
