THIS IS A TEMP ROLE TILL END OF THE YEAR

Administrative Assistant/Receptionist

We are currently seeking an Office Assistant to organize and perform office procedures, as well as provide a warm and welcoming environment to visitors and employees in the San Francisco Office.  This individual will be responsible for general office functions, including managing office supply and pantry needs, facility and conference room management, some event planning, providing assigned Senior Management with administrative support, managing all visitors to the office, and accepting / shipping packages. The successful candidate must be able to prioritize work, work independently, and provide excellent customer service while promoting a team atmosphere in a professional, fast-paced environment.

 Responsibilities


  • Receptionist for the office, answering all calls on the main phone line and routing to the appropriate employee/office

  • Provide administrative support to assigned Senior Management in the San Francisco office including but not limited to: processing time and expense reports, drafting and editing correspondence, scheduling appointments, maintaining calendars, travel arrangements, etc.

  • Act as the main point of contact with building management for matters regarding security, maintenance, janitorial, vendor access, floor warden duties, etc.

  • Provide general support to visitors

  • Point of contact for day to day office needs, including maintenance, mail, supplies, equipment, and invoices

  • Maintains all common areas to ensure a professional work environment

  • Ensures facilities and office equipment are in good working order at all times

  • Responsible for leading all ordering and stocking of all office supplies including coffee, kitchen, vending, printing, signage, tools, and materials

  • Processes incoming and outgoing domestic and international mail and packages

  • Partner with HR to update, maintain and communicate office procedures as necessary

  • Assist with the onboarding process for new hires

  • Ensure all office vendor invoices are processed and paid on time

  • Responsible for conference room management, some meeting and event planning, and scheduling and coordinating client meetings as required

  • Professionally interacts with all internal and external personnel, often at the upper and executive-management level

  • Back up other members of the admin team on administrative duties while out of office

Will be responsible for additional duties and special projects as necessary

Requirements


  • Outstanding customer service, verbal communication, and interpersonal skills

  • Excellent verbal and written communication skills

  • Strong computer and calendaring skills, including a working knowledge of Microsoft Office Outlook, Word, Excel and PowerPoint
