Job Description


The Records Specialist is responsible for performing a variety of tasks in support of the Long Term Record Storage Program. This scope includes but is not limited to: index and retirement of Vendor Information Files; review and disposal of duplicate aperture cards; track and report on monthly metrics; retrieve boxes and files requested from Hanford Contractors or the Department of Energy; create box indexes, when required; assist with any other task determined applicable to the Long Term Records Storage contract needs. Provide excellent customer service to site contractors and the Department of Energy.



  • Perform an inventory of the record boxes stored in the Hanford Site's Records Holding Area

  • Manage physical storage of inactive records generated by or for DOE and its designated Hanford Site contractors

  • Retrieve boxes and files requested, from the RHA or FRC, and support customers reviewing records at the RHA

  • Accepting record boxes for storage and coordinate transportation to/from NARA FRC in Seattle, Washington, and/or other approved off-site records storage facilities

  • Maintaining accurate and timely physical collection information in the HMIS RHA database

  • Participating in the establishment and maintenance of Hanford Site procedures and processes for records storage

  • Visually observe each box number on a shelf and verbally communicate that number to a second individual who will compare it to boxes indicated on the shelf contents listings and annotate any discrepancies found

  • Communicate results to management/leads

  • Attend work planning and status meetings

  • Perform all work in accordance with established access controls and safety requirements

  • Complete any other records tasks assigned by Lead/Manager


Qualifications



    Required Skills:


    This position is physically strenuous and requires personnel who can meet the following qualifications.



    • Must be capable of repeatedly moving and lifting boxes weighing up to 50 pounds

    • Must be capable of repeatedly climbing and standing on ladders

    • Must be capable of repeatedly kneeling on hard surface floors

    • Must be able to accurately read, write, and communicate

    • Must be organized and detail oriented

    • Strong work ethic and positive attitude


    Desirable Skills:



    • Associates degree in a related field or equivalent combination of education and experience

    • Minimum of 1-3 years of experience working in a Hanford records group
