The Administrative Specialist II position is a vital part of CPRD's Administration, Recreation and Museum Divisions with the City of Greeley and is responsible for processing daily facility revenue deposits for seven Recreation facilities and two Museum facilities, processing volunteer background checks, ordering supplies, and supports the Museum Advisory Board.
Experience, Knowledge, Skills:
1-3 years customer service experience required;
1-3 years administrative support experience required;
High School diploma or equivalent required;
Knowledge of Microsoft Office required;
Valid driver's license and good driving record;
RecTrac software knowledge preferred.
Essential Functions:
Revenue Deposits-Count daily facility revenue received and balance to RecTrac GL reports, prepare bank deposits and revenue accounting forms for CPRD facilities including FunPlex, Recreation Center, Ice Haus, Active Adult Center, Rodarte Center, Greeley History Museum, Centennial Village and outdoor pools. Maintain files of reports, deposit slips, and cash journals, and order supplies such as deposit bags and deposit slips.
Museum Support - Administrative support to the Museum Board including preparing agenda packets, taking minutes, and filing documents with the City Clerk's office. Order office and miscellaneous supplies, name tags, business cards, and handles shipping and mailing.
Volunteer Background Checks-Review incoming background forms to make sure they are complete, submit to background screening company, review results, and alert supervisors to unacceptable screenings as necessary. Update department’s approved volunteer list.
Other Duties – work with RecTrac system, answer questions, pull reports, provide instruction. Provide answers and assistance to the public, members of other city departments, and CPRD staff. Assist front desk staff with questions, training, and helping customers during peak times.

Effectively utilize software systems such as RecTrac, Microsoft office/Teams, and Oracle.

Physical Requirements:
Vision to perform physical activities, read computer keyboards, reference books and other written documents;
Strength and stamina enough to walk, stand, stretch, bend, lift or carry up to 50 lbs;
Manual dexterity enough to complete daily work such as operate computer keyboards, drive and operate motor vehicles, and operate other office equipment and complete paperwork.
