About the Role:

Toppan Merrill is seeking a career-minded individual to act as a resource for our Client Service team and Front Desk. A Client Service Specialist provides enthusiastic, detail-oriented, and exceptional service at our headquarters in NYC. What You'll Do:

  • Ensure all visitors and personnel receive a welcoming, professional greeting from the Reception desk. Maintain highest standards of grooming, professionalism, and communication. Participate in ensuring a clean, professional image throughout Reception area; routinely maintain central areas such as tables, reception desk, etc.; ensure deliveries are quickly removed from reception area

  • Provide a wide variety of administrative and support services to the Client Service and Customer Service teams

  • Professionally manage multiple calls under sometimes busy conditions; ensure telephones are answered promptly, professionally, and knowledgeably transfer calls and ensure callers receive superior service through connection or other appropriate resolution

  • Monitor conference room and visitor needs throughout the day, especially when clients are In-House.Including ordering meals set up and clean up

  • Provide front desk and phone back up support, greet visitors, schedule conference rooms, and assist with client service support responsibilities

  • Adhere to and enforce established visitors' guidelines

  • Resourcefully connect visitors with contact personnel; locate data and information as needed and recommend appropriate solutions to ensure minimum wait time

  • Regularly review client service procedures and standards related to position; identify and implement enhancements to client service

About You:

  • Demonstration of a "client first" mentality. Ability to anticipate client needs. Being one step ahead

  • Possess a natural curiosity for how things work and a desire to continuous learn

  • Ability to identify and problem solve client concerns as needed

  • Strong communication and technology skills

  • Flexibility with hours when clients are onsite including being available, at times to stay late, come in early or for weekend work. Candidate may be requested to cover other shifts for sick or vacation coverage

Qualifications and Experience:

  • Bachelor's degree preferred or equivalent experience in a related field

  • 1-5 years previous Receptionist, Client Service and/or Administrativeskills

  • Proficient in Microsoft Office Suite
