$19.50 an hour - $21.00 an hour





Job Summary:




The Administrative Assistant for the University Advising Center (UAC) is a highly visible position that provides administrative support and ensures smooth overall operation of the UAC and its 15 staff members.


This position is the first point of contact for students, staff, faculty, parents and visitors in-person, via phone and manages a departmental e-mail.




Essential Functions:






  • Resolve administrative questions, concerns, and inquiries via email, phone, and walk-ins for students, parents, staff, and other SMU departments and offices.

  • Assist students with enrollment questions, schedule appointments, organize meetings, and support the advisors as needed during AARO and busy enrollment periods.

  • Maintain accurate codings, rosters, and records for up to 3000 pre-major students. Work closely with Admissions and the Registrar's Office to ensure accuracy of records.

  • Run query reports and solve problems using my.SMU.

  • Manage budget, order supplies, and submit facility requests.

  • Assist Director with tasks related to managing petitions, probation, suspension, dismissal, athletic certificaiton and repeat roster.

  • Coordinate emergency reponse protocol for office

  • Position does require occasional evening and weekend work. Attendance is mandatory during new student orientation (AARO) - early June through the start of fall class.






Qualifications




Education and Experience:




A high school diploma or equivalent is required. An Associate's degree is preferred.


A minimum of three years of work experience providing administrative support in an office environment is required.




Knowledge, Skills and Abilities:




Candidate must demonstrate strong verbal and interpersonal communication skills to build relationships successfully with a wide range of constituencies. Must also demonstrate the ability to communicate effectively in writing. A strong customer service orientation is essential.


Candidate must possess strong organizational, planning and time-management skills with the ability to prioritize and manage multiple tasks. A strong focus on attention to detail is essential.


Candidate must possess strong problem solving skills with the ability to be resourceful, proactive and seek assistance as needed. Must also demonstrate the ability to work independently and collaboratively with others.


Candidate must demonstrate proficiency in MS Word and MS Excel. Knowledge of MS Outlook is essential. Experience with and/or knowledge of a website content management system (e.g. Sitecore) to update web page content is desirable. Experience with running reports/queries in a relational database is a plus.
