Summary:
The Central Scheduling Associate is responsible for Cadence scheduling for multiple departments throughout Covenant. This position will work with physicians, physician office staff, departments and patients. This position is responsible to complete scheduling, relay prep instructions, and pre-registration. As well as verifying insurance to determine eligibility /corresponding benefit levels, calculate patient liabilities and listing/obtaining authorization. Assures patient understands their financial obligations, identifies payment solutions and screens for financial assistance needs. This position will work with other departments within the organization to gain knowledge of their appointments/visit types to maximize schedules often evaluating availability to add STAT appointments. Receives electronic and faxed orders to accurately schedule and link to the appropriate test when necessary. The Central Scheduling Associate demonstrates excellent customer service performance in that his/her attitude and actions are at all times consistent with the standards contained in the Vision, Mission and Values of Covenant HealthCare and the commitment to Extraordinary Care for Every Generation.

Responsibilities:

Responsible to work with physicians, offices, patients and multiple departments throughout Covenant to appropriately schedule patients for appointments.

Including but not limited to Imaging and Diagnostics, Center for the Heart, Wound Healing, Sleep Center, Research, Lactation, Respiratory, EEG/EMG, Diabetes Self-Management, PICC Team, Audiology and Partnership for Better Recovery.

Ability to make independent decisions to maximize staffing resource allocation and revenue opportunities.

Responsible to understand the difference in workflow protocols for scheduling patients by utilizing the scheduling workbook/manual.

Knowledge of specific visit type questionnaires including but not limited to prep instructions, allergies and lab work.

Confers with departments to define needs and maintains communication with department personnel to ensure satisfaction with appointment scheduling.

Serves as a liaison with customers to answer questions related to scheduling, registration, insurance billing and payment.

Ability to interpret, research and communicate information with tact to multiple entities including physicians, departments and patients.

Responsible for knowledge of CPT and ICD 10 coding as it relates to diagnosis and appointment/visit type selection.

Has extensive knowledge of the various billing regulations for multiple insurances to correctly determine set up, coverage assignment and filing order of insurance.

Ability to correctly identify and assign guarantors for all patient types including auto, Third Party Liability, patients who are minors, custodial parent, etc.

Responsible to maintain patient confidentiality as defined in organizational policies an HIPAA guidelines.

Ability to handle varying levels of stressful situations; able to function in a fast paced "team" environment with frequent interruptions.

Participates in internal and external department meetings, training sessions, compliance updates to meet institutional requirements.

Knowledge of the many Federal, State and Local government regulations as they relate to scheduling, Patient Access and billing requirements.

These include but are not limited to EMTALA, COBRA, Red Flag Rules, Advance Beneficiary Notice, Medicare Secondary Payer, No Fault Laws and Worker's Compensation rules.

Performs other duties as assigned.

Other information:

EDUCATION/EXPERIENCE

Preferred Certified Medical Assistant, Medical Insurance Billing/Administration or Associates Degree with course work in a medical field or working toward.

Must have completed medical terminology course or its equivalent.

Previous scheduling experience preferred.

KNOWLEDGE/SKILLS/ABILITIES

Ability to type 40 wpm.

Computer competency, including Microsoft Office, Epic, Email and internet.

Knowledge of standard office equipment.

Skills necessary to schedule, interview, give clear instructions and coordinate appropriate appointment scheduling.

Demonstrated organizational skills.

Ability to communicate effectively, verbally and in writing, with all levels of hospital and physician office personnel on a one-on-one or group conference basis.

Ability to work independently and prioritize work.

Ability to protect the confidential nature of the information.

Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.

Frequent standing, walking, sitting, twisting, reaching, handling, fingering, feeling, talking and hearing.

Frequent depth perception, near, midrange and far vision, color and field of vision.

Occasional lifting 0-25 lbs.

Occasional carrying, pushing, pulling, balancing, stooping, kneeling, crouching and squatting.
