The Executive Assistant is responsible for providing support to senior executives. Duties include scheduling of appointments, preparation of external/internal correspondence, telephone and visitor screening, travel arrangements, coordination of meetings and receptions, preparation of presentation materials and maintenance/filing of documents. This position may coordinate the work of one or more secretaries and administrative assistants. The Assistant works with limited direction from the senior executive and possess thorough knowledge of the organization. Incumbents have the proven ability to make sound judgments on a day-to-day basis regarding assigned and ad hoc duties. Due to the nature of their roles, individuals in these positions have regular contact with important clients, industry officials, and senior management in other firms.
Responsibilities:
Provides support and assistance in a variety of functions to the executive officer that is focused on increasing the executive's efficiency
Coordinates, organizes, and facilitates high level projects, travel arrangements, and meetings
Manages special products as assigned by the executive
Acts as a liaison with respect to various financial matters and reports, workforce management productivity, and related operational and performance scorecards
Creates detailed meeting minutes and action items, as well as follows up to ensure that action items are being completed in a timely manner
Reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the executive for consideration
Summarizes, prioritizes, and researches information into a concise and usable format for the executive to review
Responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executive
Creates or directs creation of reports, charts, budgets and other presentation materials for the executive
Other duties as assigned, such as managing the creation of the Monthly Operations Report (MOR)
Minimum of 4 to 7 years of administrative or executive support experience required
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint)
Attentive to detail and thorough, with superior organizational skills and a desire for continuous improvement
Excellent written and verbal communication skills
Ability to facilitate communications technology, such as conference calls and video conferencing
Proven ability to build strong relationships, working with all levels of employees and external clients
Deadline focused and ability to multi-task and adapt to changing priorities
Exceptional interpersonal and follow-up skills
Must maintain broad knowledge and understanding of the company's operations and business objectives
Ability to represent the firm externally, interfacing with clients and other outside parties
Contributes to moderately complex aspects of a project
Work is generally independent and collaborative in nature
