Position Overview

The Construction Contract Administrator performs duties related to Construction Dept. and provides support to achieve operational goals.

 

Roles and Responsibilities

Essential Duties and Functions


  • Lead and uphold TNY values

  • Reinforce and lead by example on TNY safety culture

  • Promote and enforce TNY and CRH Safety Practices

  • Maintain job records

  • Perform cost-accounting work and performance analysis for construction projects

    • Track, review, verify & record quantities / progress units

    • Prepare, review and analyize daily, weekly & monthly construction job cost reports

    • Review performance & variance from job budgets



  • Set up new jobs in Viewpoint using estimating system reports. Edit and format set ups to correctly drive daily P&L and month end reports. Maintain and edit set ups as needed for change orders, etc.

  • Complete job billing process including Viewpoint entries & all documents / forms required by customer or by contract

  • Track job payments, take lead role in collections of job billings

  • Subcontractor agreements, set ups, payments

  • Complete sales order (job set up) in point of sale software

  • Review material sales reports daily for price, phase & job errors. Request corrections as necessary. Prepare correction work order request when required.

  • Work closely with entire construction team. Provide job support, progress & performance information to project supervisors.

  • Work with all other departments as needed.

  • Work with construction managers, estimating and department managers to support the monthly close process, preparation of job reports, sales data, cost data & performance reports, forecasts, budgets etc.

  • Provide month end close support to billing department including trouble shooting as required

  • Timesheet review

  • General office duties

  • Includes daytime, plus evening and weekend phone calls from time to time

  • Regular and predictable attendance at assigned times is required

  • Other duties as may be assigned

  • Prepare bid documents & prequalifications

  • Complete necessary forms as required by project customers

  • Field calls from customers, vendors, public

Qualifications

Education/Experience
Required


  • High school diploma or general education degree (GED) and four years related experience and/or training

Preferred


  • Bachelors degree or equivalent in years of related experience or training

  • Experience with procurement tools, processes and systems preferred, but not required

  • High level of proficiency with all Microsoft Office applications including Word, Excel, Outlook, and PowerPoint

Work Requirements


  • Strict adherence to safety requirements and procedures as outlined in the Employee Handbook

  • Skilled and accurate in data entry and data research

  • Must be willing to work nights and weekends when required

  • Report to the assigned job site ready to begin work at the designated start time

  • Willingness to work in a team environment and assist co-workers or supervisors with other duties as required

  • Must display a professional and courteous attitude to co-workers, supervisors, and general public at all times

Knowledge/Skill Requirements


  • Be able to interact with vendors, employees, and different levels of management

  • Must be detail oriented

  • Must have strong data entry skills and be proficient in Outlook

  • Ability to perform multiple tasks effectively with a focus on timeliness and responsiveness

  • Capable of utilizing the internet effectively for research and evaluation

  • Excellent communication skills (both oral and written)

  • High standard of ethics, integrity, and trust

  • Cleanliness & neatness of all equipment, tools, desks, & computers is a must at all times
