Job Description:

Job SummaryFacilities function. Responsible for regulatory compliance activities and services for Facilities department. Maintains the department in continual service readiness for all entities. Maintains full compliance with DNVGL standards and other accreditation agencies, applicable local, state, and federal regulatory requirements. Participates in the development of preventative and corrective maintenance policies, procedures, systems, and schedules to effectively dispatch staff.

Minimum Job Requirements


  • Bachelor's Degree in Business Administration, Healthcare, or other related field

  • 2-4 years years of experience in a hospital setting

  • 2-4 years of facilities and/or life safety experience

  • Experience involving accreditations and regulatory compliance surveys or equivalent

  • Proficiency in Microsoft Word, Excel, and Outlook

Knowledge, Skills, and Abilities

  • Knowledge of Spanish language preferred.

  • In depth understanding and working knowledge of Joint Commission’s Environment of Care or DNVGL’s Physical Environment, NFPA, AHCA, and other codes and regulations governing hospital operation and Life Safety Chapter(s), and local, state and federal authorities having jurisdiction (AHJ) such AHCA, OSHA, DEP, Miami Dade’s Fire Department, etc.

  • Understanding, working knowledge, principles, and application of engineering/maintenance management; building automation systems, energy management principles, computerized maintenance management system, infrastructure, applicable building, environmental codes, and regulatory requirements.

  • Able to use logical and analytical thinking to interpret technical data, track budget variance, provide productivity assessments, and solve a broad range of problems.

  • Able to communicate effectively both verbally and in writing in a clear, concise, and courteous manner.

  • Able to learn work related software application(s).

  • Able to interpret, adapt to, and react calmly under stressful conditions and varying demands.

  • Able to relate cooperatively and constructively with external customers, peers, physicians, etc.

  • Able to establish necessary professional relationships and interact effectively with internal and external customers.

Job Specific Duties

  • Performs periodic audits to assist in determining NCHS's entities regulatory compliance and readiness with Facilities' accreditation and regulatory requirements.

  • Develops & implements a preventive/corrective maintenance program to ensure efficient & uninterrupted operation of the entire physical plant & all related operating equipment within all locations.

  • Establishes preventive maintenance schedules, prioritizes repair, and maintenance work to minimize disruption of Health System operations.

  • Monitors assigned work for adherence to productivity standards, job specifications, quality of work place, safety, and regulatory compliance.

  • Assists in the development, implementation, and monitoring of department goals, policies, procedures, capital/operating budgets, assigned projects, and long-range plans.

  • Assures the provision of a safe employee, patient environment, and serves as an active participant in the Health System's Environment of Care process.

  • Complies with all standards for safety, risk management, and infection control as required by NCHS policies and regulatory agencies.

  • Maintains documentation of all maintenance, repairs, and testing as required by applicable codes and directives.

  • Serves as the expert in department specific preparation for accreditation surveys and regulatory audits/surveys by creating and maintaining compliance roadmaps.

  • Establishes training standards, assesses staff competencies, provides training, and enforces compliance of department standards and customer service program.

  • Manages the department’s maintenance management program to ensure it is kept up to date and in compliance with the requirements of the facility and all regulatory agencies.

  • Regularly reviews and analyzes utilization; provides reports on labor utilization, PM compliance, and variance analysis against established goals from the work order system.

  • Interprets, analyzes, and disseminates the results of audits and surveillance results and data/reports.

  • Assists and/or leads and ensures accuracy and timeliness in review and submission to all regulatory reporting requirements for the Facilities department.

  • Works with the Design/Construction team to ensure compliance with all NCHS & regulatory requirements including PCRA, ICRA, ISLM assessments, Shut Off & Hot Work requests, etc.

  • Creates, develops, and submits all work reports required and requested by the leader.

  • Leads the dispatchers day to day essential functions

  • Create, develop, analyze and report on the TMS and Service Now work order systems. Provide analytical reports and recommendations on how to improve work order systems, increase staff productivity, and the mechanics’ work order completion effectiveness.

  • Lead all discussions, walks, meetings and actions required from the Accreditation team, EOC team, Emergency Management Team, and any AHJ visits.

  • Maintain all compliance documentation in a continuous state of readiness and migrate all compliance paperwork and documentation to a paperless system acceptable to the AHJ’s.
