This position is responsible for support of Doctoral and non-doctoral Associates in three research labs within the Center for Pediatric Auditory and Speech Sciences (CPASS) and the Bioinformatics Core Facility. The Administrative Coordinator will collaborate with multiple departments to organize and manage community outreach events, symposia, training courses and the weekly Translational Research Seminars Series. The Administrative Coordinator will prepare, manage and audit event budgets as well as make recommendations, set deadlines and request funding for external events. In addition, the Administrative Coordinator will build and maintain a connection between CPASS and Clinical Divisions. The Administrative Coordinatorwill manage the day-to-day operations of CPASS and Bioinformatics Core Facility as well as provide administrative support to non-CPASS/Bioinformatics Research Department staff as assigned by Research Administration. PRIMARY RESPONSIBILITIES
A Organize and Manage Community Outreach Events
Provide planning, coordination and supervision of external fund raising activities, including budget development, website content for fundraising event, identify and contact potential donors, solicit sponsorships, prepare media material and select marketing materials.
Direct and oversee subcommittees (volunteers, entertainment, refreshments, security)
Oversee day of event and address issues that may arise
Facilitate post-event wrap up meeting; discuss what worked well and any needs for improvement
Organize and Manage Weekly Translational Research Seminar Series
Create schedule and maintain lead with Florida locations
Send an invitation to host a seminar speaker, handle travel arrangements and manage seminar communications to the enterprise.
Organize and Manage Symposia, Workshops and Training Courses
Oversee and facilitate all aspects of event planning from budget preparation, venue selection, sponsor negotiation, event registration, marketing and post-event reporting
Schedule planning meetings and identify target audience, suggested topics and speakers
Prepare and mail initial contact letter/email for speakers and exhibitors/sponsors
Apply for desired accreditation
CPASS and Clinical Divisions Administrative Support
Frequent communication with Division of Plastic Surgery, ENT, Audiology and other divisions
Coordinate appointments of clinical patients for CPASS investigators
Provide Administrative Support to Facilitate the Day-to-Day Operations
Process Invoices, Associate Reimbursements, Travel Requests, Membership Dues, Purchase Orders
Schedule Lab Center, Suite and other meetings for Center Director
Maintain and order office/lab supplies
Additional miscellaneous duties and responsibilities, as may be assigned from time to time by employee's supervisor or lab heads.
Bachelor's degree and relevant research experience required.
