Job Description:

What will I be doing?

• Support daily distribution of group resumes, BEOs, reader boards and change logs.
• Work with the clients detail and coordinate the sleeping room needs of the group.
• Assist the Sales Manager, upon request, on preparation for site visits.
• Data entry using Delphi.fdc, Microsoft Word and Excel
• Copying and distributing of internal/external letters, forms, bookings, contracts, resumes, rooming lists and schedules.
• Works with reservations to coordinate the input of rooming lists, room requests and special requests by groups.
• Managing commission and rebate audit process for group and business travel clients
• Assigning leads in Delphi.fdc to the correct sales manager.
• Maintain excellent working relationship from initial lead call through follow up call and maintain contact with all support departments until group and/or event conclusion.
• Entering final pick up/guarantee numbers into Delphi.fdc.
• Collecting deposits and final payment for groups/events.
• Work with banquet department on coordinating events.
• Greeting clients upon arrival at hotel. For events, making introductions/hand offs to onsite contacts.
• Ordering office supplies for DoubleTree Executive and Sales office.
• Create Group Resumes to pass all pertinent information about group to all departments within the hotel.
• Lead weekly Resume and BEO meetings with appropriate team leaders.
• Coordinating Groups/Events while they are on property.
• Maintain excellent working relationship from initial lead call through follow up call and maintain contact with all support departments until group and/or event conclusion.
• Handles negotiations with meeting planners and generate Banquet Event Orders based on agreed contractual terms. Prepare and process all required paperwork to include BEOs for all groups and all other related correspondences with clients.
• Other duties as assigned.
