Ohio Department of Public Safety - Emergency Medical Services/Medical Transportation Board
 
Report in location: 1970 West Broad Street, Columbus, Ohio 43223
 
Under general supervision of Medical Transportation Chief within Emergency Medical Services (EMS), relieve supervisor of routine & administrative duties related to the licensure process (e.g., review all ambulette, ambulance, mobile intensive care unit and air medical service licensure and licensure renewal applications for completeness & correctness in accordance with prescribed regulations & policies; notify applicants, written &/or verbally, of problems with applications; enters information from applications into database; update information in database as needed; prepare service licenses & permits; process forms for addition and/or deletion of vehicles or satellite stations; prepare letters from template; monitor licensure status reports; reconciles application fees to licensure applications); Create and manipulate data utilizing Microsoft Excel; Assist licensure applicants with data regarding licensure processes; Independently provide explanation orally &/or in writing of services and activities of the Medical Transportation program & respond to verbal &/or written inquiries regarding licensure procedures (e.g., applications for licensure and licensure renewal, licensure status, licensure and licensure renewal requirements); Serve as primary intake of calls for Medical Transportation section; Maintains files on a daily basis; Assist in the development of reports for presentation to the State Board of Emergency Medical, Fire, and Transportation Services (EMFTS), the Executive Director, and general public; Develop a working knowledge of policies, procedures, Administrative Code and Revised Code related to Medical Transportation operations.
 
Research & respond in writing &/or orally to routine inquiries about the licensure program from applicants & the general public; Assist with referrals to related professional organizations; Utilize Microsoft Word mail merge to create form letters; Utilize internet applications to retrieve data & conduct research; Maintain confidentiality of licensure related documents & information in accordance with applicable state & federal laws; Draft & proofread written correspondences; Maintain files of licensure applications & related documents & correspondence; Assist the general public with understanding Medical Transportation licensure requirements to be a Non-Emergency Medical Service Organization, Emergency Medical Service Organization, Mobile Intensive Care Unit, or Air Medical Service Organization; Provide assistance to contract inspectors.
 
Assist with preparation for & attend meetings with inspectors (e.g., scheduling of meeting room, typing meeting agendas, sending meeting notices, copying meeting materials, etc.); Assist with EMFTS committee activities (e.g., sending meeting notices, typing meeting agendas, taking and preparing minutes, copying meeting materials, scheduling of meeting room, etc.); Compose and generate reports & correspondence related to licensure; Prepare & maintain reports concerning work processed; Prepare documents for long-term maintenance in accordance with record retention schedules. Perform other related duties as required (e.g., work on special assignments & projects, prepare memos & presentations for dissemination within the work units, answer incoming calls from the EMS main phone line & direct to appropriate staff, process incoming mail, act as back-up Administrative Professional to the other sections within EMS, provide information regarding resources available through the EMS webpage, etc.).

Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college.

-Or 18 mos. exp. or 18 mos. trg. in secretarial/administrative professional field.

-Or 6 mos. exp. as Administrative Professional 1, 16871.

-Or equivalent of Minimum Class Qualifications For Employment noted above.
