Provide an increase of quality ongoing support to each of our scribe programs with ongoing communication and site visits depending on the need. Lead Scribe will provide sites in their region with new ideas for their program, walk them through how they can improve in areas where they are struggling, assist in tracking compliance and educational requirements, and be a point person for Lead Scribes who need assistance in managerial duties, compliance, or other responsibilities. Lead Scribe will be the go-between between the Scribe Operations team and the site for onboarding, recruitment, succession planning and any other matters to help facilitate better communication and best practices on both sides.

Additional responsibilities include, but not limited to:


  • Flexible Schedule Preferred: Arrange classroom and floor training for new hires
  • Site Check-ins: Contact your regional lead in your region regularly (monthly, bi-monthly, or more frequently as needed) via video conference or telephone to get an update on program operations, site updates or changes, and to extend support as needed.
  • Review the Lead Scribe Monthly Report to ensure the site is up to date on compliance matters, staffing, and other site/company requirements and communicate any matters to program managers or Supervisor of Client Scribe Services.
  • Help sites with staffing plans and keep the Vituity Scribe Recruiter in the loop on site needs.
  • Provide resources and suggestions to the scribe program manager regarding training and/or retaining their scribes.
  • Identify the matters going on at the site such as EMR transition, new Scribe Program Manager or Practice Manager, new Scribe Trainer, scribes struggling with documentation, holding effective scribe meetings, rollout of Vituity initiatives such as Patient Satisfaction, RME, Scribe Efficiency, etc.
  • Available to work overnight shifts when needed.

Communications:

  • Communicate with Vituity Central Scribe Operations staff as needed for site matters via telephone or email as appropriate.
  • Lead Scribe will provide a summary report of any site visit and next steps to the Project Manager or Supervisor of Client Scribe Services, and Director of Scribe Operations.
  • Coordinate and host orientation and training of new scribes for the site.
  • Respond to email communication from site contacts or Vituity Central within 48 hours and check email at least once every 24 hours.

Operational Support:

  • Provide continued support of scribe program management and implementation strategies.
  • Help establish consistent practices at the site.
  • Develop ideas of how to improve the overall Vituity Scribe program and how to enhance the training (education, compliance, leadership, managerial) needs of sites.
  • Assign scribe training and other courses via Vituity University when necessary.
  • Collaborate with Vituity Central and site leadership to implement any site-specific projects based on site or practice line initiatives.

Required Experience and Competencies:

  • 1 year of Scribe experience.
  • Experience documenting in electronic medical records.
  • Strong writing skills; legibility and spelling proficiency required.
  • Proficient computer skills; Microsoft Word, Microsoft Excel, e-mail, ability to use video conferencing.
  • Professional demeanor with strong interpersonal and communication skills; must be a team player and portray leadership qualities.
  • Customer service skills; providing solution-driven outcomes, establishing relationships with site contacts and leadership, displaying proper phone etiquette, providing clear verbal and written communication, scribes and site contacts to understand the perspectives of each, asking appropriate questions and giving respect by allowing them to speak without interruption.
  • Critical thinking; uses logic and reasoning to approach problems and identifying alternative solutions.
  • Organizational skills, attention to detail, managing time while performing job duties, responds to communication attempts in a timely manner.
