Job Title: Manager, Administration

Reports To: Regional Director

Department: Operations

Location: San Bernardino County

FLSA Status: Exempt

POSITION SUMMARY:

This position requires constant communication and follow-up with contract administration staff and AMR Operations and Business Development teams to ensure contract terms are documented and communicated. This individual will also work very closely with AMR's billing vendor to ensure that rate changes are implemented timely and accurately. Utilizes appropriate business development and sales methodologies to retain and develop new profitable business in emergent and non-emergent medical transportation services.

The Manager shall focus on direct sales and closing strategies, Integrated Delivery Networks, hospitals, long term care facilities, health plans, governmental entities and other appropriate users or buyers of medical transportation systems. The Manager has responsibilities for Account Executives with emphasis on developing new business and retaining existing business.



Essential Duties and Responsibilities:

    Maintain high levels of both written and oral communication with internal departments and external contacts.
  • Oversee the day-to-day operation of the contract administration team whose primary responsibilities include:

  • Updating Salesforce

  • Receiving and reviewing executed contracts routed from Contracts Database

  • Coordinating Usual and Customary Charge schedule and contract fee schedule changes

  • Receptionist office personnel

  • Attend scheduled meetings as required by the Regional Director

  • Responsible for adhering to all company policies and procedures

  • Effective information systems security is a team effort involving the participation and support of every AMR employee who deals with information and/or information systems.

  • It is the responsibility of every computer user to know and follow Information systems security policies and procedures

  • Generate and maintain contracts with upcoming expiration dates and take appropriate action.

  • Inform billing vendor of appropriate course of action for future claims.

  • Audit billing system to ensure rate increases are implemented on schedule.

  • Assist with coordinating documentation requirements associated with internal and external audit requests.

  • Provide constructive feedback to team members regarding their performance.

  • Consistently recruiting for new clients through a variety of techniques including direction from operations staff, etc.

  • Assists in the development of pricing and business development strategies.

  • Works with Account Executives and Operations staff to develop and maintain focused sales efforts on business retention to maximize contract retention efforts.

  • Seek opportunities to improve work environment.

  • Perform other duties as assigned.

Minimum Qualifications :

Education/Licensing/Certification:


  • High School diploma or general education degree (GED) required

  • Bachelor's degree in Healthcare Administration, Management or Business Administration preferred.

  • A valid driver's license.

Experience:


  • Five years' experience in EMS management preferred.

  • Two to four years' experience in Contract Administration is preferred.

  • Understanding of operational resource utilization and development.

  • Strong communication skills.

  • Two years' experience of business-to-business selling in the medical transportation industry, with an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by AMR.

  • Demonstrate experience and success in the areas of contract retention, new customer sales and business development.

  • A thorough understanding of the medical transportation industry business metrics and economic drivers.

Knowledge and Skills:


  • Understand rules/regulations of Medicare/Medicaid and other government payors, as well as commercial insurers and specialty contracts to ensure accurate and timely billing and payment of claims.

  • Comprehend and appropriately use medical insurance industry terminology.Know payor-specific requirements and guidelines.

  • Understand HIPAA, Sarbanes-Oxley and other critical governmental regulations.

  • Understand basic management principles and have knowledge of Global Medical Response business models.

  • Grasp basic accounting skills.

  • Maintain fluency with (working knowledge of) various tools:Billing systems (e.g., JAGUAR).

  • Spreadsheet, word processing/presentation tools, (e.g., Word, Excel, Power Point).

  • Communicate effectively, (both orally and in writing) in English.

  • Convey thoughts in a well-organized, concise manner.

  • Use appropriate grammar and punctuation in written documents.

  • Perform in a consistently organized manner with strong attention to detail.

  • A working knowledge of healthcare contracting and a familiarity of Medicare, Medicaid, and third-party payer reimbursement.

  • Ability to effectively present information and respond to questions from groups of employees, managers, customers, and prospects.

  • Ability to analyze sales data and develop recommendations and solutions.

  • Excellent planning, organization and time management skills.

  • Ability to carry out multiple assignments concurrently.

  • Ability to adapt to changes in the external environment and organization.

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
