AV/VTC Conference Support

We have an immediate need for AV/VTC Conference Support candidate to support an important government customer in Alexandria, VA.

Contract Overview:

The Government customer requires conference center operational support services. These services include but are not limited to customer service for initial customer contact for conference room reservations and space management, AV/IT software and hardware management, and room configuration management. Includes room reconfiguration of furniture, lecterns, video projection equipment, sign boards, etc.

Position Overview:

Under general supervision of the Project Manager, the support candidate will set up rooms for upcoming VTC use in accordance with customer requirements communicated via smart phone application, including but not limited to: room reconfiguration of furniture using dollies and carts as necessary; placement of office supplies such as markers, writing tablets, pens, etc.; remove catering items and clean room after a meeting while preparing for the next meeting; ability to learn scheduling system and processes to man the service desk when needed.

Minimum Required Skills:


  • Ability to read site maps, CAD floor plan instructions, and reconfigure room furniture to specifications.

  • Ability to move large flat panel displays and other video equipment under the direction of the Project Manager with assistance and connections by the VTC technicians.

  • Ability to use a smart phone application to receive and complete work tickets.

Room Configurations and Set Ups


  • Provide room configurations, and furniture set-ups/breakdowns as requested.

  • Be responsible for the reconfiguration, setup, and assembly of furniture, walls, and other items in conference rooms on all floors.

  • Manage furniture, portable podiums, tables, chairs, flip charts, easels, whiteboards, carts, stage risers, and provide other conference-related labor for panel conference rooms.

  • Be responsible for preparing conference rooms for meetings in a variety of room configurations such as banquet style, chairs in a circle, classroom cluster pod style, conference style, herringbone style, a hollow square or rectangle style, party style, theatre style, U-shape, or any other special configuration indicated in the CAD floor plan.

  • Provide "reset" services by resetting panel conference rooms into a "default configuration" and adjust/open blinds between meetings. Default configuration consists of clearing the tables, lowering all conference chairs so they can be uniformly pushed under tables, restocking room supplies as needed, removing easels or flip charts and other ad-hoc requests.

  • Clean white boards before, and in between, all meetings.

  • Remove left over catering items, place them at a kitchenette location, and then notify the customer service representative of its location for pick up.

  • Collect and provide left over meeting materials for disposal.

  • Be responsible for assembling and dismantling the stage risers as needed, and return them to their storage location after events.

  • Be responsible for the folding/unfolding the air walls when needed.

  • Manage conference room materials, inventory and organize the storage areas.

  • Enter daily service request tickets into the ticket type reporting system.

  • Transport goods or equipment as assigned and may be asked to work with other contractors regarding the configuring for larger events.

  • Be responsible for handling incoming and outgoing shipments such as deliveries of office supplies.

  • Be capable of lifting a minimum of 40 pounds and a maximum of 80 pounds. This may also require managing large or possibly heavy parcels.

Desired/Preferred Skills:

Capable of lifting minimum of 40 lbs and a maximum of 80 lbs, climb ladders, bend, crouch, push carts and dollies, and correctly move equipment/furniture without damage to the equipment or the facility rooms.

Degree & Years of Experience:

High school diploma.

Core hours for the team are 7:00 AM to 6:00 PM, so staggered shifts will need to be managed work is located in Alexandria at the new headquarters building.
