Purpose:

~ The Associate of Planning & Integration provides executive administration and division operations and integration support.

~ Specifically, this position administers executive schedules, reports, and tasks as well as coordinates and supports division operations, planning, and budget for the Customer Experience (CX) division. This position interacts with many levels of the company as well as with HMC, HMNA subsidiaries, affiliates, and suppliers.

 

Major Responsibilities:

~ Executive Administration (May include Korean language support)

~ Manage tasks for CX Division and the Chief Customer Officer (CCO) and/or General Manager of Customer Support (Korean Executive Coordinator), including: coordinate and schedule meetings and tele-/web-conferences, arrange travel and prepare expense reports, and coordinate correspondence

~ Manage internal and external correspondence, includes handling highly confidential issues

~ Prepare and coordinate executive reports, including research, data analysis, reports, and presentations.

~ Prepare and coordinate events, including monthly division meeting

~ Assist HMC visitors, as needed, including travel and meeting arrangement

~ Division Operations and Integration Support

~ Prepare and coordinate division reports, including research, data analysis, reports, and presentations.

~ Support division’s vehicle launch readiness including calendar, meetings, presentations, and cross-functional coordination

~ Maintain division budget, including monthly reports and coordination between division and Finance department. Assist with division strategy, planning, and budget processes

~ Maintain and update division organizational chart, office space chart, distribution lists, contact lists, and groups

~ Process and track purchase requests (PRs), invoices, and expenses

~ Maintain division’s records management, Manage division office supplies

~ Monitor and report industry news and trends regarding Hyundai, competitors, and customer experience

~ Assist with Hyundai customer care. May include Korean language support

~ Serve as the Department Ambassador (DA) Lead, including: integrate and collaborate with other DAs; and  create, document, and update processes

~ Act as a liaison for all division employees

 

Authority:

~ Proactively monitor and analyze division budget, providing monthly and quarterly reports to division executives and departments. Proactively assist in escalating issues with Finance department, as needed.

 

Education:

~ Must have a high school diploma

~ Bachelor’s degree preferred

 

Related Experience:

~ Two to four years of work experience in a professional office environment. Preferably two plus years working with executive management

~ Two to four years of customer service experience

 

Skill / Knowledge:

~ Proficient in the use of Microsoft Outlook, Word, Excel, and PowerPoint

~ Excellent ability to work with a variety of personalities, variety of employee levels, and with customers in a fast-paced environment

~ Strong critical thinking skills, including: decision-making, problem-solving, and follow-up skills

~ Strong oral and written communication skills

~ Very good data analysis skills

~ Organized, detail-oriented, efficient, and accurate

~ Creative

~ Ability to work independently with minimal supervision as well as cooperatively in teams
