MAJOR DUTIES & RESPONSIBILITIES

Duties may include, but are not limited to:


  • Heavy schedule management and travel support to two Senior Vice Presidents as well as assist with administrative requests for the departments with a keen ability to prioritize work with minimal supervision. 

  • Performs administrative duties of a varied nature, such as travel arrangements, logistics for onsite/offsite events and large meetings, coordinate facilities and workspace related requests. 

  • Coordination of set-up for desk, phone and computer equipment for new hires and consultants. 

  • Assists in maintaining and updating department records and files (contractor listings, distribution lists, floor plans, org charts, etc.).

  • Create/Update presentations and reports in PowerPoint and Excel as requested.

  • Occasional (but minimal) travel to other locations in support of offsite meetings and/or other activities.

  • Special project support and event coordination.

 

DESIRED QUALIFICATIONS/SKILLS:


  • At least 5 years of demonstrated competence in administrative assistant functions or related experience.

  • High degree of professionalism and dependability and a demonstrated ability to handle confidential information and work in a fast pace environment.

  • Effective interpersonal skills; capable of working with all levels of office personnel in a corporate setting.

  • Excellent working knowledge of PC and various Microsoft software programs including Outlook, SharePoint, Word, Excel, and PowerPoint; ability to create documents and reports with minimal direction.

  • Proficient with current office technologies.

  • Ability to quickly gain a thorough understanding of the organization, role and objectives of the department, personnel and policies.

  • Strong verbal and written communication skills.

  • Quick learner and Self-starter with willingness to take initiative.

  • Demonstrated ability to think and work independently with limited supervision.

  • Proven ability in planning, prioritizing, and organizing diverse workload.

  • Associates or bachelor’s degree.
