Job Description:

Job Summary:
Provide administrative and clerical support for the assigned manager, team, department, unit, or division. Duties may be moderately complex to complex in nature and include typical administrative support or clerical activities such as typing, work processing, directing phone calls, greeting clients/customers, scheduling appointments, organizing data, providing reports, etc. May serve as a contributor on various project teams, coordinating, recording, and disseminating data as required.

Job Duties and Responsibilities:

Greet clients, customers, and visitors according to company standards, using appropriate etiquette. Screen telephone calls and relay messages to the appropriate person. Respond to internal and external inquires regarding the business unit.

Address and answer routine questions; direct non-routine request to the appropriate party for answers.

Maintain and coordinate one or more calendars, and schedule appointments and travel. Schedule in-person meetings and conference calls, reserving meeting space and equipment; make travel arrangements, coordinating flights, car rental, hotel accommodations, etc. as needed. Follow up on action items as needed.

Type and distribute routine correspondence, records, memos, etc.; may type or create a variety of documents.

Provide clerical assistance, to include creating computer and paper based filing, copying and sorting, the pick up and distribution of mail, delivery of messages, recording meeting minutes, etc.

Maintain a supply of routine office supplies; conduct inventory checks and order supplies as needed.

Distribute information requested to the proper person and/or department; maintain confidentiality for proprietary information.

Coordinate the efficient operation of the office; maintain confidential and general files, and maintain manuals.

Create and maintain various presentations, reports, graphs, tables, and other publications which may be moderately complex in design or makeup.

Maintain the unit, department, or divisions budget; record expenditures and pay bills as required.

Enter data into and retrieve data from a departmental or unit specific database. Create reports from one or more databases for analysis and decision making.

May lead the day-to-day activities of the assigned area. Provide leadership and direction to members of the department, performing those responsibilities in accordance with the Company's policies and applicable laws. May train lower-level Administrative Assistant's within the same unit/department.

May serve on one or more project teams, coordinate information and/or provide clerical and administrative services. May serve in such a capacity as to serve as a representative on behalf of the Manager assigned to the project.

Each team member is expected to be aware of risk within their functional area. This includes observing all policies, procedures, laws, regulations and risk limits specific to their role. Additionally, they should raise and report known or suspected violations to the appropriate Company authority in a timely fashion.

Perform other related duties as required.

Minimum Education: High School Diploma or completion of GED.

Minimum Experience: Six (6) years of experience in an Administrative Assistant or similar support role.

Required Knowledge, Skills, & Abilities:

Knowledge of the Microsoft Office product suite (i.e., Microsoft Word, Excel, and PowerPoint).

Knowledge of standard office equipment, it's operation and use.

Knowledge of the services and/or products offered.

Strong proficiency using a Personal Computer.

Strong communication skills and the ability to communicate effectively both verbally and in writing.

Strong organizational skills and the ability to maintain information in a logical and easily accessible manner.

Strong customer service skills and the ability to portray a positive image of the department, unit, division, and/or company represented.

Interpersonal skills and the ability to communicate with individuals at various levels within and outside the company.

Ability to fluently read and write standard American English.

Ability to be detail oriented and focused.

Ability to type documents in an efficient and timely manner with minimal errors.

Preferred Knowledge, Skills, & Abilities:

Industry and/or departmental specific experience.
