Dewberry's Lakeland, FL office is currently recruiting for a Project Manager Assistant/Accounting Assistant, who will represent the Business Unit (BU) and Project Managers (PM) with accounting and financial matters as well as perform a variety of administrative functions in support of a fast-paced, multi-disciplined group. The Project Manager Assistant must be flexible, technologically savvy and client focused.

Responsibilities

The Project Manager Assistant will coordinate with the Project Accountant (PA), Business Unit Manager and PM to ensure accurate and timely reporting of all financial and accounting related matters for the projects/jobs within their assigned BU or PM. As requested by the BU or PM and within the accounting standard, the Project Manager Assistant will assist with the day to day financial management of their assigned projects.

The Project Manager Assistant will provide administrative support including, but not limited to, managing shipping and couriers; ordering supplies and maintaining operations of office equipment; scheduling and preparing materials for meetings; and creating memos, letters, and reports.

Additional responsibilities include but are not limited to:

    Utilize all job-related workflow tools, including but not limited to, credit memos, job close, IPA, Job number request and New Client set up.
  • Understand different contract types and set each type properly in E1.

  • Help obtain complete/executed client and sub-consultant contracts and submit to the contract document system.

  • Monitor and improve BU compliance with time sheet start and completion.

  • Prepare and submit time and expense transfers.

  • Submit credit requests and E&O check requests via check request workflow.

  • Attend all PMD workshops and communicate information learned with BUM and PMs.

  • Become familiar with all of the Dewberry Business & Administrative Policies (BAPs) and the responsibilities of the PMD as addressed in the BAPs.

  • Assist the BU with adhering to the Cash Management Program as specified in BAP 5 specifically supporting billings, WIP management and collection of Ars.

  • Verify and update subcontract and COI documents for all subs and enter in E1 as required by P2P procedures;

  • Assist PMs with coding and reviewing sub-consultant invoices;

  • Provide Accounting with all manual invoices or pay application before month end;

  • Provide Accounting with specific contract billing rates

Required Skills & Required Experience


  • High school diploma required. Associate degree in Accounting or related field preferred.

  • 3+ years' experience maintaining financial and technical data.

  • Experience providing administrative support.

  • Prior project accounting experience is preferred.

  • Must be detail-oriented and a self-starter.

  • Must be flexible and able to adapt quickly to various tasks and changing demands.

  • Excellent communication and organizational skills, with ability to multi-task.

  • Ability to work independently while following instructions and pre-established guidelines to perform the functions of the job

  • Proficient with Microsoft Office Suite and Adobe Acrobat.

  • Knowledge of JD Edwards Enterprise One, and the use and application of business tools and workflows is preferred.
