Job Description:

We are in search of an intelligent and motivated administrative assistant who possesses a positive attitude and the ability to effectively manage our engineering office. The right candidate will be committed to quality and be able to utilize sound judgment when working with vendors, clients and employees. This is a full-time position, with anticipating working hours of 8:00AM to 5PM.

Responsibilities:


  • General duties include:

    • Editing and proofreading technical reports

    • Enforcing QA/QC processes

    • Compiling and Bookmarking PDFs

    • Copying and Scanning documents

    • Approves and codes accounts payable invoices

    • Assists Branch Manager with reviewing employee timesheets/expenses

    • Administers all HR new hire documents

    • Assembling bound hard copies of reports

    • Directing phone calls

    • Making travel arrangements

    • Maintaining and ordering office supplies

    • Incoming mail processing and preparing outgoing packages

    • Maintaining the copiers and fax machines

    • Other miscellaneous duties as needed



  • Reports to the Branch Leader, but will also receive assignments from multiple departments and must have a willingness to do what’s needed to support the team.

Requirements:


  • Bachelor’s Degree and 1 year related experience in office administration. Or, in lieu of a degree, a minimum of 3 years’ related experience.

  • Advanced proficiency in MS Office (Word, Excel, PowerPoint, etc.)

  • S. Citizenship or Permanent Resident status (no visa sponsorship provided).

  • Ability to pass a background check which may include criminal history, motor vehicle record, and credit check.

  • Ability to pass a pre-employment drug screening.
