The Administrative Assistant role provides company support through a variety of tasks related to organization and communication to ensure efficient operation of the office, support of employees, and contributions to specially assigned projects. Communicate effectively via phone and email. Ensure that all assigned duties are completed accurately and delivered with high quality and in a timely manner.
Hours: PART TIME, 12-20 hours, flexible schedule options. The role will be in office initially, and then could flex partially remote.
Responsibilities:
Provides administrative support to company’s leadership team
Accurate and timely completion of required program documentation, reporting etc. in accordance with company’s policies and procedures
Accurate and timely completion of required internal processes such as Concur, UltiPro, in accordance with Confluent Health’s policies and procedures
Develops detailed project plans to track progress
Manages clinic supply orders
Maintains office and break room supply inventory
Assists with preparations for New Employee Orientation
Answers the office phone and directs calls
Receives, sorts and distributes the mail
Prepares outgoing mail and packages for mailing/shipping as needed
Ensures operation of copier; troubleshoots printer/copier issues with Xerox technicians; places service calls when needed; maintains copier inventory
Assists with large print jobs
Composes email in a professional manner; replies to email in a timely manner
Handles sensitive information in a confidential manner
Contributes to team effort by accomplishing related tasks as needed
Qualifications:
Ability to operate a computer and basic office equipment
Ability to operate a multi-line telephone system
Skill in answering a telephone in a pleasant and helpful manner
