This position will provide administrative support to HR Practice Management and to the local HR team as needed. The incumbent will be required to perform a variety of duties as outlined below under the direction of the HR generalist, HR director, and HR manager. This position requires strong interpersonal communication skills, effective writing skills, excellent organizational skills, and superior attention to detail as well as confidentiality, discretion and good judgment.
Duties and Responsibilities
Incoming Fall Associates:
Identify Associate Advisors for new associates
Help to update and maintain all New Hire/Incoming Associate charts as needed
Assist with planning, executing, and attending Welcome Breakfast, Advisor Lunch, and New Associate Reception
Prepare materials for orientation, name tags for various events, etc.
Evaluation and Compensation of Associates:
Assist with coordinating various Compensation Committee, and practice group review meetings
Assist with the creation of electronic review binders
Update Litigation Face Book for Fall Litigation Review Meeting
Update practice group hours charts
Litigation Associate Development Committee (LADC)
Compile Monthly Hours Report
Attend monthly meetings and capture meeting minutes
Assist in associate staffing requests
Serve as back-up on circulating bi-weekly Capacity Planning Survey to associates
Compile report and send to LADC members
Events:
Create and circulate invitations for events. Send reminders as needed
Assist with planning, executing, and attending various events for the DC office, ARC (happy hours, Family Picnic, Halloween Party, Town Halls, holiday event, etc.), Associate Advisor Program (Welcome/Farewell events, Luncheons).
Updating program budgets following events
Coordinating food, set up, floral arrangements, equipment and A/V, etc. as needed
Securing venues and entertainment for off-site events
Local HR
Assist with inputting data in Human Resource Information System (PeopleSoft) for lawyers as requested or needed
Complete employment verifications for bar admissions
Facilitate offboarding process for associates and counsel
Help to coordinate programs and events sponsored by the HR Department
Serve as back-up to HR coordinator
Additional Responsibilities:
Tracking budget expenditures
Copying, scanning, and distributing materials for various meetings and/or as requested
Draft and send New Lawyer / New Hire Announcements
Draft and edit Exit Interview Summaries
Assist with scheduling mid-level associate career development meetings

Required:
Bachelor's degree
Basic knowledge of PowerPoint and Excel
Preferred:
Law firm or professional services firm experience
Ability to type 55 wpm
