Project Coordinator

The project coordinator supports the operations and workflows of a busy cross-discipline marketing team. Candidates must be self-motivated and have exceptional organization and communications skills. Candidates must be flexible yet thorough and possess the ability to manage and own multiple tasks efficiently, while remaining flexible to support the team in a variety of projects and initiatives.
Key Responsibilities:

  • Facilitation of ongoing marketing financial and accounting processes:
    • Invoice processing, tracking and workflow
    • Managing project workbooks – obtaining authorizations and signatures
    • Assisting with month end accrual processes and forecasting
    • Overall department administrative expense management
  • Scheduling meetings with internal and external teams, agencies and partners:
    • Maintaining a marketing department activity calendar that includes key marketing events and activities
    • Meeting planning and facilitation– agenda development and follow-ups
    • Coordinating department vacation schedule and work coverage
  • Managing the contract processes for new and existing agency/partners
  • Creates and distributes reports, financial and other, critical to the Marketing organization
  • Supports the creation of PowerPoint presentations for various meetings
  • Responsible for routing and proofreading marketing materials
  • General support to various ad hoc projects, inclusive of certain sales requests; supports the objectives of the department by performing a variety of activities that help maintain and improve functional group processes, programs and/or services
  • Travel planning and overall administrative help for select team members
Required Knowledge & Desired Skills:

  • Bachelor’s degree preferred
  • Demonstrated ability to process invoices and reconcile them with fiscal budgets and owning that process
  • Natural collaborator and resourceful, self-starter who can work comfortably across all levels of the organization
  • High-level proficiency with Microsoft Office Suite of products, specifically Excel
  • Strong project, process and time management skills, self-directed, detail oriented and organized
  • Excellent written, editing and communication skills
  • Experience as an Office Manager and/or Administrative Assistant at the executive level a plus
  • Knowledge of SAP a plus
  • Occasional travel to R&D facility in New Jersey
