West Virginia University Research Corporation Land Use and Sustainable Development Law Clinic (“Land Use Law Clinic”) housed in the West Virginia University College of Law is currently accepting applications for an Office Manager. 

About the Opportunity

This position will Assist the Director of the Land Use and Sustainable Development Law Clinic with daily operations and office management. 

Provides program, as well as direct internal and external client support services. Responds to inquiries and independently resolves matters of low to moderate complexity. Responsibilities require some judgment, resourcefulness, and originality, but diverse guides and precedents are usually available to apply or adapt to the circumstances. Work effort has considerable impact on client services, program and project image, with potential legal liabilities.

What you’ll do

  • Maintains knowledge of professional principles, legal and/or reporting requirements affecting area of responsibility and adheres to industry and government standards.

  • Coordinates daily workflow for the Land Use and Sustainable Development Law Clinic; contacts will include but are not limited to the Dean, University Administrators, faculty, staff, students, partners and clients. Partners and clients include local, state and federal government representatives, landowners, and non-profit agencies. 

  • Maintains appointment calendar and schedules travel for Clinic staff, collaborating and providing reminders as needed; coordinates scheduling of student appointments and travel

  • Types correspondence, manuscripts, articles, reports, and tables from rough draft to final form in correct format; proofreads all typed material and corrects errors in sentence structure, grammar, spelling, and punctuation; composes routine correspondence from verbal instructions relaying routine information.

  • Drafts and assists in implementing internal office procedures to cover mail, filing systems and serves as source of information in explaining departmental procedures to visitors, other staff and students.

  • Ensures that daily operations of the office go smoothly.

  • Represents the Clinic in securing and coordinating necessary equipment and IT support. 

  • Operates fax machines, copiers, and other office equipment in area to which assigned.

  • Maintains and updates any blogs sponsored by the Clinic.

  • Maintains and updates the time management software CLIO.

  • Assist staff and students with WestLaw access 

  • Maintains faculty Google Calendars, computer-based scheduling program

  • Develop and maintain files for real estate matters.

  • Develop and maintain filing system for the Clinic. This includes the maintenance of files in the network drive, through CLIO, dropbox files, and hardcopy files. 

  • Represents office or program in meetings and presentations.

  • Completes travel reimbursement forms and verifies that all necessary documentation is present for filing expense forms.

  • Collects fees and make deposits, posting payments promptly. 

  • Plans and/or coordinate events such as workshops, seminars and conferences.

  • Plans and/or coordinate trips or tours for constituency group(s) to which position is assigned.

  • Disseminates printed materials to clients and customers as requested; prepares bulk mailings by typing, collating, labeling, and preparing for post office; collects and deposits outgoing mail in an appropriate location.

  • Maintains sufficient inventory of office supplies and other materials to support the program. 

  • Represents the Clinic in communications with building owner/manager on facilities issues. 

  • Assists in locating and setting up new facilities.

  • Gives presentations, demonstrations and tours in assigned building or area.

  • Trains faculty and students on building and safety procedures.


Hours Per week: 30 


  • Associate's degree; or equivalent combination of education and experience.

  • Three (3) years of office management related experience; or an equivalent combination of experience and education.

  • Maintains skills in, or knowledge of, professional principles, legal and/or reporting requirements affecting area of responsibility.

  • Proficient competency in Microsoft Office software applications (Word, Excel, and PowerPoint). Able to import, present data in varies graphic formats, and program cells for mathematical computations using Excel. Able to develop presentations from general instruction using PowerPoint.

  • Ability to write correspondence and prepare detailed records or reports.

  • Ability to compute rate, ratio and percent and to draw and interpret bar graphs for preparation and maintenance of project budgets and routine financial reporting maintained in Microsoft Excel spreadsheets and generates graphs of project financial status.

  • Ability to operate automotive equipment to occasionally transport products or people, as needed.

  • Responds to management direction; resourcefully adapts to changes in work environment and circumstances; responds well under pressure and manages competing demands; takes calculated risks, asks for and offers help when needed; exercise discretion and sound judgment; is tactful and responsible for own actions. Adheres to work schedule and complies with leave management responsibilities.
