West Virginia University Health Science Center is currently accepting applications for a (temporary) Clinical Coordinator with the Center for Excellence in Disabilities. 

About the Opportunity

The purpose of this position is to appropriately navigate clients to the services that address their stated needs. This position will coordinate the initial client intake and connect the client to the appropriate provider (clinical or programs) based on the documented needs. This position will also ensure that clients have completed the appropriate documentation so that providers have the resources they need to conduct high quality services, and that families understand next steps following a clinic visit. Finally, this position will work with the CED provider(s) to ensure referrals for the client to receive services beyond the CED have been appropriately documented and completed.

What you’ll do:

  • Greet and assist visitors and clients in a professional manner, determine nature of visit, direct them to the appropriate staff member, and/or answer questions they may have by using available materials.

  • Ensure back up when absent from the reception area so that other clients can be adequately directed to the appropriate services within the center.

  • Answer multi-line telephone system in a timely and polite manner. 

  • Schedule and keep appointments by notifying providers of patient’s arrival; reviewing service delivery compared to schedule; reminding providers of service delays.

  • Ensure availability of appropriate medical information by filing and retrieving records including dictation letters.

  • Obtain pertinent information from new clients by asking them intake and needs assessment questions.

  • Optimize client’s satisfaction, provider time, and treatment room utilization by scheduling appointment in person or by phone and sending reminders.

  • Comfort clients by anticipating clients’ anxieties; answering questions; maintaining reception/clinic areas.

  • Protect client’s rights by maintaining confidentiality of personal and financial information, HIPAA compliancy.

  • Maintains sensitive, private health information in accordance to HIPAA standards and regulations.

  • Enter data into the Center’s data system for each client seen within the clinics.

  • Manage pre-appointment chart notes and outbound referrals.

  • Ensure center communication coming into, and going out of, the main office is organized and distributed in a secure manner.

  • Communicate with other team members constructively (e.g., ensure appropriate team members have information for conference calls, telehealth sessions, and meetings) in order to reduce conflict and enhance the resolution of issues.

  • Order clinical supplies and equipment following State of WV, WVU, WVU Research Corporation and CED internal policies.

Length of Assignment:   Approximately 8.5 months

Pay Grade:   12


  • Associate's degree in a clinical or social services area. Bachelor's degree preferred.

  • Six (6) months of clinic coordination or clinic support experience;

  • Or equivalent combination of education and experience.

  • Demonstrate ability to operate a personal computer utilizing Word, Excel, Power Point, etc. for reports, graphs, mailings and presentation development.

  • Ability to read and comprehend simple instructions, short correspondence, and memos.

  • Ability to write simple correspondence.

  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

  • Effective organizational skills and attention to detail required.
