Position Description

Primary Purpose: To provide support to terminal operations
Essential Duties and Responsibilities:
• Core responsibility is inventory control and customer support
• Provide daily railroad billing interface
• Administer corporate purchase orders for terminal purchasing of services/goods
• Maintain corporate procurement compliance
• Provide administrative support for terminal staff
• Process terminal key performance indicators
• File documents
• Cross train on all other office positions for vacation purposes
• Provide back up support for scale house operations
• All other duties as trained and directed

Position Requirements

Minimum Requirements:
Education: High school diploma; Associate's degree preferred
Experience/Specific Knowledge:
• 3-5 years of experience in a clerical capacity performing data entry, major focus on total customer service, accounting, general office or similar duties
• Knowledge of office terminology, procedures, equipment and business mathematics
• Experience using personal computer, fax machine, scanner, copier and printer
• Proficient in Microsoft applications (Word, Excel, Outlook and PowerPoint) for processing spreadsheets and presentations
Certifications, Licenses, Registrations:
• Must be able to obtain and maintain security clearances as required
Competencies, Skills and Abilities:
• Must be proficient in Microsoft Office (Word, Excel, Outlook and PowerPoint)
• Must have good mathematical skills (addition, subtraction, multiplication and division, decimals and fractions)
• Must be able to learn and use location specific software applications
• Must have good attention to detail and accuracy
• Must have good organizational skills and be able to prioritize tasks
• Must be able to communicate, read, comprehend and interpret written and oral communications in English
• Must be able to work under pressure to meet deadlines
• Must be able to focus attention and follow work rules
• Must be able to accept supervision / direction and work effectively and cooperatively with other people
• Must be able to adjust to changing operating conditions
• Must be able to deal effectively with customers, vendors and employees at all levels of the organization
• Must be able to communicate and write reports in maintenance terminology
• Must be able to keep detailed records and to manipulate data accurately
• Self-motivated with ability to work under pressure to meet deadlines
• Must be able to manage multiple tasks concurrently
• Must be able to pass and complete safety training / certification as required by customers to work in their facilities and as required by Kinder Morgan
• Successful candidate subject to background check and post offer and random drug screens
• Must be willing and able to maintain regular, dependable attendance
Physical Demands:
• While performing the duties of this job, the employee is regularly required to sit and stand; use hands to finger, handle or feel; reach with hands and arms; and talk or hear.
• Employee must meet physical requirements including, but not limited to, walking, kneeling, crouching, climbing up / down ladders and stairs, negotiating uneven and moving surfaces, and occasionally lifting and/or moving up to 20 pounds.
• Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus
• Must have manual dexterity to operate equipment including, but not limited to, computers, telephones, 2-way radios and calculators
• Must be able to sit for extended periods
• May be required to stand for extended periods
Working Conditions:
• Must be willing and able to work occasional off hours and weekend and holidays as the schedule dictates
• Must be able to work under pressure to meet deadlines
Preferred education, experience, certifications, competencies, skills and abilities (above the minimum requirements; not required but advantageous in this position):
• Two years of experience working with computerized equipment, parts or inventory program
• Prior experience in customer service, transportation, terminals and accounting
• Job level commensurate with experience and skillset
