Job Title: Proposal Specialist

Location: Boca Raton, FL (Hybrid)

What this opportunity offers:

As a member of our growing Corporate and Marketing Communications team, you'll play a key role in writing and assisting with responses to requests for proposals (RFP's), requests for information (RFI's), due diligence requests, and ad hoc requests. Your essential responsibilities will include, but not be limited to:

• Reviewing all requests and clarifying specifications and scope of work requirements essential to developing a responsive proposal, including any information necessary to satisfy legal and regulatory requirements. 


• Ensuring timely communication and completion of RFP's to Regional Office staff. Planning, guiding and supporting all proposal production aspects (i.e., graphics, editing, proofreading, reproduction, printing, assembly, binding, labeling, packaging, tracking, delivery, etc.).


• Working with other RFP support staff to maintain and add new content to the RFP database (Qvidian).


• Collaborating on developing, updating, and maintaining proposal templates, styles, Company and staff information, and best practices language. Managing consistent product messaging and updating product language.


• Becoming a subject matter expert with respect to Qvidian functionality and coordinating expansion of the use of its content management capabilities by Corporate and Marketing Communications.

Who you'll partner with:

You'll work in our Boca Raton, Florida location and will report to the RFP manager (located in our headquarters in New York City). You'll coordinate with members of Marketing, Corporate Communications, Investment, Legal/Compliance and other internal business staff to ensure a detailed understanding of the Company’s investment processes and products to create accurate and relevant proposal responses. You'll also proactively research, collect, and summarize information from numerous sources.

What we ask of you:

We're looking for someone with experience overseeing content for 401(k) or 403(b) retirement plan proposals and/or other plan sponsor communications. You should be detail-oriented with excellent project management and organizational skills, be able to prioritize work and handle multiple tasks to ensure that complex projects are completed by deadline, with interim review steps incorporated. In addition to these attributes, you should meet the following minimum requirements:

• Bachelor's degree


• Minimum 2 years of solid writing experience, preferably focusing on retirement or financial services


• Experience with RFP workflow (preferably Qvidian)


• Strong interpersonal skills with the ability to work both independently and as part of a team


• Demonstrated initiative and good judgment, as well as the ability to work well under pressure and with time constraints


• Interest in and ability to interact directly and effectively with Company staff


• Demonstrated knowledge in Microsoft Office, especially Word, and the ability to quickly learn internal systems and applications


• A positive, collegial attitude and a high level of professionalism
