Position Summary:
The Cash Applications Coordinator is directly responsible for accurately recording customer payments and appropriately maintaining the accounts receivable (A/R) ledger activity. The Cash Applications Coordinator generates refunds, adjustments, and other accounting transactions related to A/R management. Additionally, daily monitoring and reporting of the A/R balance for manufacturer clients in relation to Inmar’s Promotion line of business is required. This position involves diplomatic interaction with customers to provide payment information and support in order to facilitate swift payment of invoices due to Inmar.
Major Responsibilities/Essential Functions: Retrieve payment data from banks and other sources and prepare for posting Post payments to various applications/systems to ensure aging data is maintained timely and accurately Prepare and scan physical checks for deposit to bank Analyze, review and report clients’ A/R aging Review credit balances, refunds and adjustments and apply adjustments and/or corrections to invoice balances Balance daily posting batches to bank data; prepare and distribute reconciliation reports and statistics to key personnel Request payment from clients for outstanding/overdue invoices; prepare documentation for clients to complete (vendor forms, W9, etc.) Investigate and resolve invoicing discrepancies or misapplied cash transactions Electronic and physical filing of daily payment documentation Other duties as assigned
Contacts/Relationships
This position requires developing relationships with individuals at all business levels inside and outside the Company. Daily interaction with customers via telephone and email and frequent interaction with Inmar Account Operations Teams, Sales, Finance and Accounting is essential for success.
Individuals assigned to this position will have frequent access to client information and data, which are considered highly confidential due to our agent/client relationship and should be contained to the assigned area. Knowledge of the Company's products and services is confidential and should not be shared with clients due to the highly competitive nature of the industry.
