Your day to day

The Design Resource Specialist will be accountable for managing and maintaining new and existing products, relationships with vendors of those products, and organizing the Design library of products, materials, finishes, and design information needed to support the Design, brand and procurement team activities. This role reports into Director of Process and Innovation in Design Strategies, Americas Design and Construction.


Essential Duties & Responsibilities – (Key Activities)


Vendor Relations and Management: The Design Resource specialist oversees the scheduling, coordination, and facilitation of AD&C wide vendor presentations; sources, updates, and manages digital and physical vendor resources; and establishes and maintains contacts with vendors, showrooms, and galleries. Responsibilities include, but are not limited to:



  • Establish and maintain new and existing vendor relationships and contacts.

  • Create workflows and file structures for vendor resources.

  • Responsible for all samples and catalogs remain current.

  • Input new resources with representative contact information into resource database and maintain a digital rolodex.

  • Organize and schedule new vendor presentations and routine vendor updates and communicating needs of design teams.

  • Identify new vendors and resources and share information with designers and architects about new products; arrange for representatives to visit on a monthly and weekly basis to provide continuous education credits as well as ensure design and product awareness.

  • Monthly online research to share new product information with Design.

  • Update vendor information across multiple platforms as applies including specifications.


Library Maintenance: The Design Resource specialist oversees the management of the Materials Library and supports the work of AD&C. Responsibilities include, but are not limited to:



  • Maintain, catalog, and organize an up-to-date Resource Library with stocked material and samples with vendors currently in our programs for Essentials and Suites as well as aspirational vendors and potential products for our LLP segments.

  • Responsible for leading the building, organizing, maintenance, general upkeep, and organization of the IHG Design physical library at the Design Center.

  • Assist Designers in locating materials and information based on inspiration ideas.

  • Responsible for continuous materials sourcing and regular updating of products in all material categories.

  • Assistance to Designers with sourcing of materials, textiles, furniture, accessories, and art for current projects when necessary.

  • Responsible for filing and new material.

  • Ensure all materials that are borrowed from the library are returned and filed appropriately

  • Arrange for vendors to pick up samples/resources, if needed.

  • Annual coordination of loose sample recycling and pick up and product auctioning as required for cleanup.


Specification inputs and maintenance: The Design Resource specialist will be responsible for the management of the final specifications on Design Connect (IHG’s design portal for program ready product specification).



  • Maintain and organize current specifications log by Brand to update on outward facing Design Connect.

  • Will support and assist Design managers and Design specialists to input final specifications into IHG specification system (OI) using final information provided by approved vendor selections for a specific product.

  • Update specifications with Designer provided inputs for both new and existing product as part of continuous improvement for all Brands.

  • Will evaluate, collect, and gather existing specifications necessary to inform Supply chain transformation initiative to support Design.

What we need from you

Education –



  • Bachelor's (Preferred)

  • Interior Design Knowledge (Required)


Critical Expertise & Experience –



  • 2+years’ experience in a professional services environment, background in design resource management a plus.

  • Must be self-motivated and able to prioritize.

  • Excellent communication skills and a hospitable disposition.

  • Must be able to focus in a very fast-paced environment.

  • Enthusiastic and capable team player interested in contributing, learning, and growing.

  • Enthusiasm with interior design.

  • Strong organizational, prioritizing and problem-solving skills.

  • Knowledge of trade resources and vendors.

  • Initiative, attention to details and follow-through are key factors.

  • Intermediate skills in Microsoft Office Products (Excel, Word, Outlook).

  • Experience with materials library management with prior-experience and understanding of the interior design, art, and architecture industry.

  • Proficient with Microsoft Office, Adobe Bridge, OI, SPEXX, and other equivalent Data Management Software.

  • Ability to create and manage spreadsheets and custom database solution.

  • Ability to regularly lift and/or move up to 50lbs of materials.
