TheResponse ManagementProject Coordinator (RM Project Coordinator) at CTEH provides support to Response Management project teams and senior management for a wide range of administrative and project activities, including managing resources and information and assisting with scheduling and planning meetings. Specific project tasks may include assistance preparing and tracking proposals, development of training and exercise materials, coordination of staff and sub-contractors, data entry/management, cost tracking, invoicing, and reporting, in addition to other administrative duties pertinent to senior management needs. This position requires excellent organizational, time management, and communication skills as well as the ability to effectively collaborate with multiple teams and remain flexible. The ideal candidate will enjoy the challenges of supporting a fast-paced office environment and will be able to work independently, with minimal supervision. The Project Coordinator will report to the Director, Response Management (RM).
This is a career-track position and may provide opportunity for advancement towards a consultant role within CTEH Response Management.

Activities/Tasks/Scope
Coordinates with RM and Major Projects Team (MPT) Consultants or others to manage project activities, resources, equipment, and pertinent project information;
Assists with proposal and budget preparation, tracking, and follow up.
Participates in RM planning, preparedness, and response projects, as needed;
Supports documentation requirements for RM projects, such as Players Manuals, After Action Reports, and training slides, materials, and certificates;
Supports the Salesforce integration and subsequent coordination for RM leads and projects;
Manages the team calendar for fulfilling project goals and objectives;
Assigns tasks to internal teams and assist with schedule management, including the RM duty roster;
Manages communications within sub-contractor network and manages associated documentation;
Assists with client, partner, and subcontractor contracts;
Assists in the preparation of presentation materials using PowerPoint;
Supports CTEH's Spill Management Team (SMT) certification requirements;
Reviews and summarize miscellaneous reports and documents;
Assists in the prioritization and management of multiple projects simultaneously and provides timely follow through on issues;
Provides office-wide administrative and project organizational support to the assigned manager as needed;
Documents and follows up on important actions and decisions from meetings and distributes meeting minutes;
Assists with marketing efforts;
Coordinates a variety of departmental meetings, business dinners, client meetings, and seminars;
Supports expense report submission for department as needed;
Arranges travel schedules and reservations for department personnel in coordination with the CTEH Operations team, as needed;
Compiles, copies, and distributes reports;
Maintains office files and records;
Prepares and sends overnight deliveries for the department; and,
Performs such other duties as are assigned.
Location may be flexible, but Kemah, TX is preferred.
Education/Experience
High School diploma or equivalent (required); bachelor's degree in Science, Environmental Science, or Safety (EHS) related fields
Minimum of three years' experience in a scientific or environmental field (required)
Advanced proficiency in a Windows-based platform with professional knowledge of Microsoft Office Suite (required)
