Job Description Summary

The Facilities Coordinator provides on-site assistance to the Facilities Management team to ensure successful service delivery for the client's state of the art Headquarters building. The candidate will work across all operational areas including office space, retail, data center/critical systems, a suite of amenities, and NYC public parks management. The role will have a special focus on financial and budget administration.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES


• Provide general facility management services, including continuous monitoring of office/facility


• Prepare and assist with Accounts Payable, Purchase Order creation and monthly Accruals in accordance with internal controls and client requirements.
• Apply appropriate procedures for preparation of accounting records, research of transactions and reporting
• Apply the financial policies and procedures of the client and bring inconsistencies, problems and recommendations to the attention of management
• Address client inquiries and concerns ensuring timely and quality issue resolution and service delivery


• Provide facilities helpdesk services on behalf of the client(s) and monitor internal/external workflow for all facilities cases to ensure consistent quality of service and work product
• Respond to facility inquiries and complaints, assess problems and take the necessary corrective action
• Remain knowledgeable regarding all operational aspects of building systems
• Coordinate with outside contractors for the service and repairs of equipment
• Assist with site inspection within the assigned building portfolio
• Create work orders and assign work orders to the engineering staff, subcontractors, and vendors
• Report on open and closed work orders and check the status of open work orders with the assigned party
• Request, review, and submit work orders, bids, and proposals from vendors
• Assist in the monitoring and assessment of vendor performance
• Train vendors on work order and billing procedures
• Manage service and performance of vendors and landlords for timely completion of jobs
• Create and record appropriate written communication between all parties
• Schedule and document maintenance and repairs on building equipment on the client's Integrated Work Management System
• Assist with measuring and reporting key performance indicators against service level agreements

IMPORTANT EDUCATION
• Bachelor's degree in Real Estate, Accounting, or related field preferred
• High school diploma or a General Equivalency Diploma (GED) required


IMPORTANT EXPERIENCE
• 0-3 years of work experience in a building services, administrative, or accounting capacity


• Candidate should have a history of providing superior customer service
• Prior experience working in the facilities/property management, commercial real estate or professional services industries preferred but not required


• Experience with Yardi, MRI, or other real estate accounting software preferred; Strong MS Office Proficiency


ADDITIONAL ELIGIBILITY QUALIFICATIONS


• Ability to work a flexible schedule as needed, including but not limited to occasional evening shifts, being on call after hours and weekends

This job operates in a professional office environment. This role routinely uses standard office equipment.
