Program Manager, Media Medicine and Health

Position Description

The Master of Science in Media, Medicine, and Health is a new one-year Harvard Medical School graduate program for those interested in using storytelling to make a difference in health. This is the only master's degree program in the United States to offer an evidence-based multidisciplinary storytelling and arts-driven curriculum focusing on health interventions.

Reporting to the Directors of the Master of Science in Media, Medicine and Health, the Program Manager is responsible for all administrative aspects of the program., including communications and marketing, recruitment, admissions, enrollment, student affairs, graduation course management/curriculum, delivery and oversight; financial management; program policy adherence; reporting and special projects.

Communications and Marketing

  • Serves as the primary point of contact both internally and externally for the Program, interacting with potential students, faculty, mentors, donors, and others. Represents the Program at meetings as appropriate; may attend certain meetings in place of directors upon invitation.
  • Develops, writes text and maintains website and other marketing materials.

Recruiting, Admissions, Enrollment, Student Affairs, Graduation
  • Manages the recruiting and admission process, including marketing to appropriate audiences, identifying and recruiting faculty to serve on the admissions committee, serving as primary contact for students to ensure that applications are complete, organizes admissions committee meetings and takes minutes, prepares acceptance letters, and coordinates with Graduate Education Admissions team.
  • Manages enrollment and registration process for accepted students. Communicates with HMS Registrar's Office to ensure that students are properly registered.
  • Assists students with housing and financial aid applications as appropriate. Acts as primary liaison for students, providing counsel and advice coordinating problem-solving with faculty, ensuring that all requirements are met for graduation.
  • Serves as member of the MMSc program managers group, sharing cross-program information and developing shared opportunities. Works with Office For Graduate Education to coordinate lifecycle events.

Course Management/Curriculum Delivery and Oversight
  • Assists the Director(s) in the design of the course curriculum and prepares required paperwork for course/credit approval by HMS.
  • Coordinates all room scheduling.
  • Organizes all programmatic committee meetings, including curriculum, steering, and admissions.
  • Participates in periodic external advisory committee visits, preparing required reports for the committee.
  • Prepares course materials for students.

Financial Management
  • Works with the GHSM finance team to develop annual budget for the Program.
  • Provides explanations for variances. Manages expense budget, making payments as appropriate.
  • Ensures that scholarships are posted to student accounts on a timely basis; ensures that revenues are meeting budget goals.
  • Manages Program's scholarship funds.
  • Ensures that faculty and staff are compensated appropriately.

Program Policy Development and Adherence
  • With the directors, prepares student handbook for the Program, including Program-specific policies and procedures.
  • Ensures that students and faculty are aware of the policies; identifies problems and institutes solutions.

Reporting and Special Projects
  • Maintains record of grades and other statistics and reports on them as appropriate. Ensures that grades are reported to the Registrar.
  • Maintains other records, including number of applications, diversity statistics, admissions, etc.
  • Develop and coordinate past and current data and records for students, alumni, and faculty.
  • Maintain long-term, positive contact with alumni and track career choices and progress in the field.
  • Prepares annual reports.
  • Manages, facilitates, and executes special projects.

Basic Qualifications
5 or more years of relevant experience. A Bachelor's degree may count towards experience.

Additional Qualifications and Skills

  • Master's degree preferred.
  • Experience in an academic setting working with trainees or students.
  • Excellent organizational skill and communication skills.
  • Able to deal with confidential and sensitive information.
  • Able to work independently and collaborate with others.
  • Ability to manage concurrent projects and multiple priorities.
  • High degree of flexibility and adaptability.
  • Skills in Word, excel, and PowerPoint required.
  • Knowledge of and/or experience with science or the research environment helpful.
