Position Description
ESSENTIAL FUNCTIONS: Reporting to the Director of Donor Relations, the Donor Relations Associate will be responsible for writing narrative reports for donors; drafting correspondence for HMS leadership communications; assisting with the coordination of the Donor Relations department's reporting workflow and annual reporting schedule; managing, maintaining, and developing the allocations database; contributing to stewardship, cultivation, and assisting with engagement strategies for AAD. Specific responsibilities include the following:
Working with HMS faculty and administrators, drafts written reports to donors on activities supported by philanthropy.
Formats and designs stewardship reports and other projects for final presentation to donors (primarily via Adobe InDesign); manages production and mailing of print reports, which may include complex mail merges and careful quality control.
Interacts with faculty, staff, vendors, and university administration to help achieve reporting expectations of the Donor Relations department.
Monitors spending activity on reportable funds via HART.
Maintains reporting database, helps track donor relations tasks and deliverables, and coordinates data tracking.
Manages acknowledgements process, including processing acknowledgments, coordinating with frontline teams, fielding office-wide questions, managing third-party notifications, running quarterly batch sweeps, and providing the Development Communications team with e-acknowledgements.
Collects research on medical education and biomedical research activities at HMS;
Participates in interdepartmental and University initiatives and projects as needed, such as the annual Report of Giving and biannual HMS Benefactor report.
In partnership with the design team and frontline colleagues, manages the production of photo books, citations, plaques and signage, and other donor gifts and recognition items.
Provides administrative support for the Donor Relations department, including tracking named spaces and fund balances; maintaining calendars and schedules; managing meetings and following up on action items; and other duties related to the administration and organization of the department's operations.
Other duties as assigned.
Basic Qualifications Five or more years of related experience, preferably in an administrative and/or professional setting. Education beyond high school may count toward experience.
Additional Qualifications and Skills
Bachelor's degree preferred but not required.
Experience in higher education development/advancement or donor relations is preferred.
The ideal candidate must be a deft writer, well organized with strong time management, able to prioritize, use discretion with sensitive or confidential information, and manage multiple assignments simultaneously.
Strong interpersonal skills, ability to interact well with both colleagues and vendors, strong Windows- based computer skills (BSR Advance, Microsoft Office, and Adobe Creative Suite, including photoshop), ability to take initiative, and the ability to work independently as well as part of a team.
This position requires good judgment, keen attention to detail, comfort in a fast- paced environment, and the ability to remain flexible in a changing environment.
