Job Description:

Reports to:Payroll Manager

Overview:Provides customer support to employees by responding to email and phone inquiries. Processes an in-house payroll using Oracle Cloud. Ensures timely and accurate entry of payroll data for US employees. Compiles digital payroll documents, maintains proper payroll controls, processes post-payroll reporting and GL posting, and participates in Quarterly and Annual tax processes.

Essential Duties:

- Responsible for the administration of accurate and timely payroll processing.

- Administer and verify essential information pertaining to payroll: timecards, salary reconciliation, calculation of Guaranteed Pay, tax withholding information, benefit deductions, garnishments, imputed wages, one time payments, and direct deposit banking data.

- Supports other departments by providing periodic payroll reports.

- Assists the payroll team with internal and external payroll audits, payroll accounting reconciliation, and other special projects.

- Responds to questions from employees on payroll issues and ensures that they understand deductions and/or garnishments.

- Compiles and enters payroll data such as hours worked, incentives, taxes and insurance to be withheld from time sheets and other records. Uploads employee pay data into payroll system and verifies accuracy of entries.

- Runs pre-payroll and necessary reports to identify variances based on triggers in the system. Works with supervisors/managers as necessary to correct errors in an accurate and timely manner. -Coordinates the preparation of system files and issuance of paychecks through ADP.

- Prepares periodic reports of earnings, taxes and deductions and other reports required by managers or governmental entities. Reviews bi-weekly and monthly invoices generated from ADP and verifies accuracy. Checks balances and makes adjustments/corrections as needed. Prepares wire transfers to fund payroll accounts.

- Works closely with the HR Services team and HRBP team (Human Resources Business Partners) to ensure accurate processing of new hires, terminations, and employees going on or returning from leave of absence.

- Records changes to employee payroll records such as W4 exemptions, 401K contributions, insurance coverage, and loan payments.

- Submits garnishments, child support orders, student loans, tax levies and all other tax notices to ADP.

-Processes employment verifications.

-Processes manual checks with ACH direct deposit or wire transfers.

- Sorts, files, and maintains correspondence, electronic payroll, and HR documents, and ensures easy retrieval. Secures records and maintains records retention history.

Non-Essential Duties:Performs other duties as assigned.

Ability to:

- Be committed to the schedule of a biweekly payroll processing cycle which includes meeting the deadlines of 3rd party vendors such as ADP and T.RowePrice.

- Ability to handle garnishment orders to ensure correct system setup and compliance.

- Engage positively with the Total Rewards team and other HR team members to help accomplish department goals and create a winning team environment.

- Interact with other departments and resolve problems of employees.

- Handle confidential or sensitive information or issues.

- Pay close attention to detail, maintain data integrity, and prepare reports in an accurate and timely manner.

- Present good planning, organization, and time management skills, work effectively with interruptions and to consistently meet deadlines.

- Demonstrate proficiency with computer-based payroll/accounting system (Oracle Cloud and ADP preferred).

- Demonstrate proficiency with Microsoft Office Suite.

- Demonstrate effective written communication skills with good vocabulary, good grammar and the ability to independently compose routine written communications.

Knowledge:

- Knowledge of wage and tax laws including garnishments.

- Understands payroll compliance with regards to federal and state rules, as well as Archrock’s company policy and internal controls.

- Good knowledge of working a payroll software system, with strong problem solving skills. Able to work closely with IT Support and HRIS to achieve a higher level of system automation and process improvement.

- Excellent knowledge of excel spreadsheets.

Minimum Education and Certification:

- High school diploma or equivalent.

- Accounting education and experience (optional).

Minimum Experience:

- 5+ years related experience of processing an in-house multi-state payroll.

Leadership:

- May serve as a resource to others with less experience.
