We are looking for a hard-working and self-motivated Administrative Assistant/Data Entry Clerk to join our small nonprofit team. The successful candidate must be able to work independently, possess great attention to detail and have the confidence to work alone and with-in a team.
If hired for this position, applicant will be required to provide proof of full vaccination for COVID-19 prior to the start date; or have a valid religious or medical reason qualifying the applicant for an exemption (that may or may not require accommodation).
ESSENTIAL FUNCTIONS
· Be available to answer incoming business calls during shift
o Includes referral to partner agencies for services and volunteer tasks
· Process mail daily, weekly:
o Includes the following tasks retrieving mail from the PO Box, sorting through the mail to categorize the donation by solicitation and opening mail in preparation for depositing.
· Donation processing
o Entry into donorperfect
o Prepare donation reports
o Deposits slips for checks and cash
o Enter Deposits into QuickBooks by solicitation type
o Print donation thank you letters and send emails
o Communicate with volunteers to pick up letters to fold.
· Donor data base maintenance
o Update donor information in donorperfect as needed
o Create and generate special reports in DonorPerfect as needed by administration
o Research donation to address phone calls
· Attended meetings
o Take or transcribe recording for minutes of board and committee meetings
· Maintain file and records for agency
o Scan and file bequest information as it arrives
o A/P records updated
o Donor records updated
o Business files update
· Other ad hoc duties as assigned
· Travel between various locations by conducting errands in the field and to various offices, business, IE: post office, banks.

Education/Experience
· High School diploma or GED
Certificates/Licenses/Clearances
· A valid California driver’s license, proof of vehicle insurance, clean DMV record, and reliable transportation will be needed to carry out job-related essential functions as travel between various locations is a requirement.

WORK ENVIRONMENT
Remote/hybrid will be considered with a requirement to work in the office in Martinez, CA. General Office Setting- Indoors Temperature Controlled, and home office.
