Responsibilities

Performs administrative support duties as well as providing some general office duties. Responsible for developing and maintaining general office filing systems, greeting visitors, processing the mail and communicating information to others intra and inter departmental as well as external customers. Must demonstrate a commitment to the process of continuous improvement, identifying and responding actively and with sensitivity to the needs of all customers and be open and responsive to change. Some duties this role is responsible for include:


  • Analyze and/or compiles reports for use in functional areas. Receives, analyzes, compiles, and summarizes information from other departments/sources, which may include data entry. Performs varied tasks within a department. Coordinates information or processes/procedures using independent assignments.

  • Originates own correspondence and reports. Typically prioritizes and determines work methods and resources for assignments.

  • Researches and prepares reports and correspondence in technical administrative areas. Ability to understand and apply mathematical calculations and concepts involving fractions, decimals and percentages, etc. Uses solid editing and proofreading skills in composing the format and content of technical documents.

  • Distributes and/or relays information to other departments, internal and external customers. Supervisor or others may provide suggestions for handling unusual or nonrecurring transactions.

  • Specific Duties include but are not limited to:

    • Ordering and maintaining inventory of office supplies.

    • Completing HR filing in employee files weekly and annually box up prior year files for records retention.

    • Check mailbox for new mail delivery, run to post office for outgoing mail needing postage.

    • Coordinate food and materials for meetings, service awards, recognition and bereavement occurrences.

    • Harassment training for new hire orientation.

    • Prepare paperwork for New Hire Orientation to review during orientation session. File all completed paperwork from the orientation session and build new hire files.

    • Assist plant leadership with administrative needs/tasks as required.

    • Posts plant communications as needed in plant areas.

    • Help to activate and deactivate new and replacement key fobs and as necessary and ensure all fobs are entered in Grainger PPE vending system.

    • Plan and coordinate Recognition, Retirement and Service Award programs.
      Manage company car fleet for clean and fueled vehicles, coordinate Maintenance on company vehicles as required.

    • Ordering trucks for Veneer/Plywood Shipments.

    • Other tasks as assigned by Plant/HR Leadership Team.



Qualifications

Basic Qualifications : High school diploma or GED required.

Preferred Qualifications : Associates or College Degree preferred or equivalent experience in office administration. The successful candidate will be a self-starter with good communication, interpersonal, and organizational skills; general office experience and strong knowledge of office equipment and computers including Microsoft Office, Excel, Word, and PowerPoint; experience greeting and assisting visitors; demonstrate solid editing and proofreading skills in composing the format and content of reports; and have the ability to multi-task and work independently. Ideal candidate will be bi-lingual with English and Spanish speaking and writing skills.
