Job Summary
This position exists to direct the Office of Auxiliary Services, which is an organization within the Office of the Vice President for Business and Financial Affairs. Responsible for providing services both directly and indirectly to students, faculty, staff and the university's community. By policy of the Board of Regents, some units in this department must be totally self-supporting with no state funds allocated. May be directed to perform job-related tasks other than those specifically delineated in this description.

The incumbent in this position is responsible for preparing, controlling and monitoring budgets and operations of the Bookstore, Dining Services, Vending, Mail Center, ID Card Office, and Parking and Transportation. Risk management/insurance claims processing is also in this position's portfolio. The position has latitude to consider courses of action within broad university policies and short-term objectives, however may not independently make decisions that may conflict with federal, state or university procedures.

As a team leader, the incumbent is responsible for providing valuable input and direction that leads to the accomplishment of missions or goals. On a regular basis, the incumbent in this position may interact with all University departments and vendors to ensure these goals are met.

Responsibilities
  • Budget development, administration, and management. Capital forecasting & planning, strategic planning for unit, and P&L responsibilities for overseeing the major cost centers under their direction.
  • Creates and tracks departmental costs and revenues providing vision and strategy for short- and long-term goals with a focus on excellence in customer service and accountability for each auxiliary unit. Evaluates service levels and determines appropriate methods for feedback and resolution to issues.
  • Ensures business and financial operations for the University's auxiliary enterprises are performed in accordance with university and division policies and procedures.
  • Prepares operational reports, financial reports, and projections for future planning in each service area.
  • Develops, monitors, and recommends process improvements that align with the University's strategic vision while seeking ways to engage the campus community and improve services across all units. Works with divisional leadership and campus partners to establish meaningful operational performance measures.
  • Provides overall support of the mission of the Auxiliary Enterprises department through program development, delivery and expansion of services offered, and by soliciting for, and responding to, suggestions and requests from the university community. Develops short- and long-range strategies and goals to enhance the development of new auxiliary programs and services to meet the university community and end user needs.
  • Identifies and assesses opportunities for innovation and new venture development in Auxiliary Enterprises.
  • Reviews, evaluates, and makes major departmental purchases.
  • Contract management of food service (catering, university & residential dining facilities), beverage & snack vending, ATM, and the bookstore.
  • Overseeing food service vendor performance.
  • Delivery of transportation and parking services programs for the campus - strategic planning, pricing, enforcement & appeals, registration, facilities upkeep, and transit services relationships. Manages shuttle services program.
  • Participates in development and implementation of the University ID Card, meal plan sales, on-site spirit wear sales, outgoing mail, and copier/document services.
  • Accountable and responsible for all audits, security, safety, environmental health and hurricane emergency policies and procedures for and related to Auxiliary Enterprises.
  • Responsible for ensuring personnel training, development, and education - as well as customer service development, delivery, and training with a focus on the student experience. Creates and fosters a team with credibility among university customers and their respective industries. Develops staff who can independently conceptualize, navigate, and complete increasingly complex and important transactions.
  • Develops and recommends policies and administrative procedures relating to assigned areas of responsibility.
  • Assists in ensuring that the goals and objectives for the department, and university are communicated and achieved.
  • Establishes and maintains relationship with other university and community departments, organizations, and partners. Serves as liaison on behalf of Auxiliary Enterprises within the university on related committees and boards as appropriate.
  • This position may be directed to perform job-related tasks other than those specifically delineated in this description.

Required Qualifications
  • Bachelor's Degree in Business Administration or a related field. Relevant experience may substitute for the degree requirement on a year-for-year basis.
  • Five years progressively responsible, professional experience related to auxiliary or business services.
  • Must be able to attend training at different locations throughout the state of Georgia which will sometimes require overnight travel.

Preferred Qualifications
  • Master's Degree in Business Administration or related field.
  • Prefer direct experience in developing and managing food services, bookstore, transportation, vending and related auxiliary/ancillary services at a university campus.
  • CASP (Certified Auxiliary Services Professional).
  • Demonstrated experience in report writing and data analysis skills.
  • Demonstrated experience in project management, planning, and presentations.
  • Strong knowledge of University structure, policies and practices.
  • Advanced knowledge of Microsoft Office Suite

Proposed Salary
Budgeted Salary Range is between $80,000 and $90,000 based on experience.

Knowledge, Skills, & Abilities
Knowledge of:
  • State of Georgia, University System of Georgia, and Department of Administrative Services policies and procedures
  • Project management principles and practices;
  • University operations and administration principles and practices;
  • Policy and procedure development and implementation practices;
  • Applicable Federal, State, and local laws, rules, regulations, codes and/or statutes.
  • Management and supervisory principles and practices.
  • Business principals, planning, modeling, and development of related business reports (P&L, Sales & Revenue, Marketing, etc.)
  • Strategic planning principles and practices for business applications.
  • Planning systems, quality improvement processes, financial analysis and reporting, and office productivity software.

Skills in:
  • Coordinating activities with other internal departments and/or external agencies and vendors;
  • Achieving and/or exceeding financial management goals within the retail business sector;
  • Managing projects;
  • Preparing a variety of reports related to operational activities, including statistical analysis;
  • Monitoring compliance with applicable policies, procedures, rules, and regulations;
  • Utilizing computer technology for communication, data gathering and reporting activities;

Ability to:
  • Work with diverse academic, cultural and ethnic backgrounds of community University students and staff;
  • Communicate effectively through oral and written mediums;
  • Solve problems and defuse conflict situations;
  • Remain calm under high pressure/difficult situations.
