We are seeking a full-timeMarketing Programs Coordinator for our headquarters in the greater Kansas City area. In this role, you will be responsible for coordinating credits/debits for Garmin’s marketing programs which include, but are not limited to, handling special credits, coop advertising, MDF, volume rebates, and consumer rebate claims through the entire life cycle. This involves documentation, research, validation, accurate accrual, timely processing of internal and external forms, providing program summaries, forecasting and tracking of program costs.
Responsibilities
Essential Functions
Process orders, returns, reporting, and other various tasks for requests submitted via the Consignment, Promotion, Associate Purchase, and other order programs
Assist and support work flow for peer positions as work volume dictates and answer customer phone calls, emails, letters, and faxes
Act as key authority/owner of processes to ensure adequate maintenance, documentation and compliancy of marketing programs representing various functions including sell through, buy down, price protection, coop advertising, volume and consumer rebate offers, associate purchase, promo, consignment, tradeshow, and display orders
Drive proper and accurate Marketing Programs Forms completion and maintain knowledge of and manage all Marketing Programs through the entire life cycle of program within Oracle and supporting software such as OBIEE and Microsoft Excel
Manage various Outlook Inboxes by responding to questions and requests within 24 hours of receipt; sort and prioritize appropriately differentiating actions, identify and reallocate misdirected claims/requests to other internal departments
Directly communicate to Dealers, Distributors, and end consumers concerning questions on their balances, claims, or orders processed
Process internal reports to verify authenticity of claim and determine accurate allowance amount
Provide accounting with information on short pays or denials including detail summary, research, and supporting payouts or denials
Manage accrual reporting of $50K - $20 million in marketing programs
Team with stakeholders on the creation of rebate claim forms; act as consultant and advocate for updates with information gathered from invalid reporting and/ or customer feedback
Coordinate and team with appropriate stakeholders for corporate lists for rebate kits distribution
Provide 3rd party Rebate vendor with FTP uploads, and additional reporting for check processing of internal rebates
Negotiate with external and internal auditors regarding disputed claims and communicate claims status with all stakeholders
Be the order entry expert and authority on policies and procedures supporting International Shipping, ISO, PCI, and GDPR regulations through Marketing Programs order entry activities
Ensure required approvals are collected with documentation throughout the entire Marketing Program order life cycle
Inform customer of unit prices, shipping date, inventory availability, anticipated delays, and any additional information needed by customer through order acknowledgements or other means of communication
Issue Return Material Authorizations and credit memos when applicable
Compile statistics and prepare various reports for management as required
Follow up, reconcile, track and coordinate all consignment accounts for sales managers, trainers, RSMs, Trade Shows, dealers and prospective dealers
Transmit routine communications for current and expired consignment timelines to designated personnel and management and work with appropriate stakeholders which include, but are not limited to, accounting and/or management if further investigation is required; act as collector of consignment units within the auditing process
Support Dealer Marketing Support team activities including cross training on other Dealer Marketing Support positions to ensure proper coverage and assist with workload
Represent Garmin at industry and professional meetings, trade shows and conferences and maintain knowledge of Garmin products
Qualifications
Basic Qualifications
High school diploma or GED AND a minimum of 2 years previous customer service experience
Demonstrated strong math and analytical skills; accounting experience and/or 6 hours college accounting courses
Must demonstrate proficiency using Microsoft Office Excel specifically in the creation and management of spreadsheets with minor formulas including V-lookup and Pivot Table skills
Demonstrated proficiency and effective data-entry and ten-key skills
Demonstrated strong and effective verbal, written, and respectful interpersonal communication skills to work across functional and organizational lines with strong negotiating and analytical skills
Must be positive, detail oriented, organized, team oriented and a driven problem solver, multi-tasker, and self-starter with the ability to prioritize in a fast paced, deadline-driven environment
Desired Qualifications
Bachelor’s Degree in a related field
Experience with Oracle applications
Garmin product knowledge
Order administration experience in a business to business environment
Experience with sell through, buy down, price protection, coop advertising, volume rebate, and consumer rebate marketing programs in a business to business environment
