The Learning & Development Coordinator supports the execution of all Learning programs for the North America Learning & Development team. Partnering with the Learning Managers, Learning Specialists, and Business leaders, the role is responsible for coordinating and executing all of the details, logistics, plans, materials, communication, and onsite support associated with Learning and Development programs. The person in this position handles numerous projects, events, and stakeholders simultaneously, prioritizes work, and takes the initiative to resolve issues. The ideal candidate must be well organized, detail oriented, and a self-starter who can communicate effectively with all levels of management as well as within the department. This is a full-time position, ideally based in Whitehouse Station, NJ. If the selected candidate is located elsewhere, it will require frequent, week-long travel to Whitehouse Station, other Chubb offices or to an offsite venue.
Responsibilities
Manage all program logistics, including but not limited to:
Securing venue (Chubb classrooms or off-site) and hotels (as applicable) to be used in our learning programs
Coordinating participant travel locally between venue and hotel
Setting up meeting facilities, equipment, and supplies
Drafting communication to participants, facilitators, and business leaders regarding our learning events
Overseeing hotel, meal, and ground transportation arrangements for all travelers
Arranging and attending dinners and/or various social learning activities in the evening for learning & development programs.
Implementing, updating, and refining (as necessary) project plans and workflows to ensure all tasks are addressed
Support the execution of learning programs including but not limited to:
Developing/maintaining calendar for North America Learning programs in collaboration with other Learning & Development team members
Coordinating, collecting, editing, formatting, copying, and collating all classroom content in advance of the program
Using Chubb’s Learning Management Systems to create, send, and aggregate results for classroom evaluations
Assisting in the set-up and delivery of virtual classroom sessions
For in-person learning, set-up and take down of the classroom and managing all technology used in the classroom
Directing support from internal and external resources (i.e., Branchburg, Engineering, Security, Mail Room, Cafeteria/Catering Services, hotels, ground transportation providers and any vendors) to ensure proper program execution
Trouble-shooting all issues that arise during the classroom session
Collaborating with other Chubb learning groups regarding best practices
Monitor budget and expense data for Learning and Development programs including but not limited to:
Performing expense analyses for each learning program to identify potential efficiencies and mitigate risk of overspending
Managing all program budgets and associated expenses, including paying, tracking, recording, coding and charging back expenses for the program assigned
Support the data needs of the Learning and Development function including but not limited to:
Using Chubb’s Learning Management Systems to set up Events & Sessions, and to maintain and monitor curriculum completion, registrations, and evaluations
Data manipulation, data analysis skills to support identifying learning trends and monthly/quarterly report data
Provides the learning data needed for event creation in the Chubb Learning Management Systems, including course/event name, objectives, number of participants, location, type of learning
Creates and maintains rosters for learning events, closes classes upon completion
Oversees evaluation completion for courses through the Chubb Learning Management Systems , including follow up for evaluation completion and monitoring of participant feedback
Set up and monitor social learning functionality using the Chubb Learning Management Systems, Teams and/or The Village.
Qualifications
Ability to manage multiple high-priority programs and stakeholder interactions simultaneously

Excellent communication skills, both written and verbal
Strong collaboration and teamwork skills
Proficiency in MS PowerPoint, including creating and using templates, graphics, and adding animation
Proficiency in MS Excel, including pivot tables, formulas, spreadsheet and data manipulation, macro and mail merge functions
Proficiency with MS Word, including use of templates, macros, and mail merge functions
Proficiency in MS Outlook, including maintenance of e-mail distribution slips, calendar functionality, etc.
Demonstrated experience with WebEx webcast and virtual classroom functionality and conference calls.
Proficiency with Chubb Learning Management Systems’ functionality for course management and reporting
Familiarity with Chubb’s expense systems and processes
