Job Summary
This position performs responsible administrative and secretarial duties of a complex and confidential nature in support of the Associate Provost and Dean for AU Online to relieve supervisor of varied clerical and administrative responsibilities.


Responsibilities
The duties include, but are not limited to:


Serve as primary point of contact
Serve as primary point of contact for AU Online; greet visitors and screen calls and mail. Compose routine correspondence, format and type documents, proofread and edit draft material, determine priority of incoming material and route to appropriate personnel.


Plan and organize other office space
This includes answering phones, greeting visitors, arranging conferences and events for the office, reserving rooms, managing inventory and ensuring basic office systems are maintained by the services and functions at the university.


Coordinate special events
May coordinate special events in support of AU Online.


Maintain calendars
Create Outlook planners and associated virtual and in person meetings for the Dean and senior staff. Management of complex scheduling via doodle poll or an equivalent application is essential to the role and make travel arrangements, process travel reimbursements, and other forms incidental to these responsibilities.. Attention to detail, and ability to adapt and adjust to complex schedules.


Maintain office supplies and equipment
Maintains office supplies and equipment inventory. Makes decisions on purchasing supplies at a value that does not exceed $200 per item and $500 per purchase and gathers and compiles information in support of recommendations for equipment purchases.


May monitor simple departmental budget
May monitor simple departmental budget, handle general bookkeeping duties and reconcile accounts. Gather fiscal data and submit to appropriate person to support development of the departmental budget or grant proposals. Prepare check requests, travel arrangements and documents and purchase orders for the office. Maintains department PCARD.


Communications
Serve as primary contact for AU Online communications including but not limited to updating Carosel files on tv monitors, submitting Jagwire announcements. Poppulo communications, etc. Compose, edit, format and type letters, memorandums, reports, charts, requisitions and emails; Proofread documents, maintain files, records and computerized databases. Accurately files documents for future retrieval.
Other duties as assigned.


Required Qualifications
A Bachelor's Degree and 2 years of progressively responsible administrative support experience; Or an Associate's degree and 5 years of directly applicable experience; or a High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and 8 years of directly applicable experience.

Proficient in Microsoft Office and other computer software/databases

Shift: Days/M-F


Pay Grade: 13


Salary: Minimum $16.19/hour Midpoint $21.85/hour


Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Motor vehicle reports are required for positions that are required to drive an Augusta University vehicle.

Those candidates trained by a foreign institution will also be required to provide an educational/credential evaluation.
