Position Details:



Summary of Duties:


The Events Coordinator is responsible for directing all aspects of the creation, production, creative development, execution, and evaluation of WSU Pullman events. The Events Coordinator manages assigned events that will advance institutional strategies and other organizational objectives.



Travel, evening, and weekend work is required.



Duties include, but are not limited to:




  • Manage the production, creative development, implementation, and evaluation of WSU events. Partner with event professionals, volunteers, WSU faculty, staff, and students, and outside vendors as appropriate.




  • Coordinate with the Director of Events and WSU Pullman leadership to plan, manage, and evaluate all aspects of the production, promotion, and protocol of WSU Pullman events.




  • Coordinate and oversee the logistical and technical needs of events, including live stage presentations, TV/video production, livestream activities, banquets, lectures, award ceremonies and other activities.




  • Set priorities and establish policies, procedures, and timelines to ensure timely, successful events that achieve WSU Pullman's goals and objectives.




  • Develop relationships and manage logistics, security, and other requirements for local, national, and/or international speakers or honorees.




  • Build, manage, and evaluate online event registration pages.




  • Manage legal and financial aspects of events, in partnership with the Director of Events and WSU Pullman leadership.




  • Work with the WSU Pullman Chancellor's office and Marketing and Communications to coordinate the writing and design of online, print, and digital collateral for events.




  • Coordinate the production of event collateral.




  • Apply appropriate WSU branding to event décor and collateral.




  • Write correspondence, as appropriate, to event stakeholders and attendees.




  • Provide direction and oversight on social media postings/campaigns related to events.




  • Work with the WSU contracts office to set up contracts and agreements for events, as needed.




  • Estimate costs for specific events, and manage to provided budgets.




  • In coordination with the Director of Events, authorize expenditures and monitor charges for events.




  • Prepare final cost summaries and reconcile accounts.




  • Prepare financial reports, as needed.







Required Qualifications:




  • A Bachelor's degree in a field relevant to area of specialization and three (3) years of experience directly related to the specialty area. Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.




  • Experience organizing, planning, executing and evaluating special events.




  • Experience using Microsoft Office Suite applications including Word, Outlook, PowerPoint, and Excel programs.




  • Demonstrated ability to communicate effectively orally and in writing.




  • Experience managing multiple projects.







Preferred Qualifications:




  • Experience in higher education.




  • Evidence of creative, conceptual thinking and the ability to take the conceptual and make it a reality.
