Financial Coordinator will provide financial and statistical analytics while preparing, maintaining, and manage PACCD weekly and monthly clinical productivity reports. Responsible for Procard management, monthly financial review and correction of wayward charges or errors utilzing journal entries and or reallocations, travel scheduling and reimbursement for faculty, post-doctoral researchers and staff, purchasing supplies and submitting accounts payable requests utilizing Ben Financials, Concur, World Travel and Chrome River systems and abiding by University and Health System policies. Support, organize and manage complex scheduling and administrative tasks for the Director of Division Administration, Faculty Affairs Coordinator and Executive Assistant/Chief's office.

Support, organize and manage complex scheduling and administrative tasks for the Director of Division Administration, Faculty Affairs Coordinator and Executive Assistant/Chief's office.


Duties:


* Prepare bi-weekly and monthly clinical and financial reporting for Executives. Assist with auditing and validation of reporting metrics for accuracy and


feedback to administrators and clinicians. Create, update and/or distribute internal reports; run and assemble reports, attach documentation, and distribute reports to faculty /investigators.


* Under the direction of the Business Manager, analyze monthly reports to identify wayward and suspense transactions and journals accordingly. Create journals for transfer of HUP/CPUP salaries to specific grants and internal fundingReview general unrestricted fund for DTAC, postdoc health, suspense and all other activity, and ensure balance as at $0 each month; and data entry of journals.


* Pro-card owner responsible for the divisional purchases and monthly reconciliation of the account. Complete processing of purchasing, financial payments and reimbursements using Ben Financials, Concur & Chrome River in accordance with University & Health System finance policies and procedures. Obtain documentation and allocate UPS and ProCard journals on a weekly basis, ensuring balance is $0 each month.


* Data entry of reallocations, costing allocations and managing payroll monthly reporting for review and distribution by leadership.


* Completes purchasing and payables activity such as preparing POs or reimbursement requests, collection of appropriate documentation, ensuring payments are made, confirming data entry of proper COA by AP/Travel, entering electronic receipts against POs, relieving encumbrances, managing stale checks using Ben Financials, Concur & Chrome River in accordance with University & Health System finance policies and procedures.


* Provides administrative support for complex scheduling for Chief and DDA for internal and external meetings within Penn Medicine leadership and executives.


* Organize, track documents for approval and or completion through various administrative offices. Create an organized electronica filing system for all faculty and staff records.


* Assists with faculty recruitment and onboarding scheduling, itinerary, chaperoning candidates across campus. Follow-up on status of credentialing, onboarding


tasks including lab coat, letterhead ordering, scrub requests, digital file organization of candidate information, system training scheduling and office set-up.


* Other duties and responsibilities as assigned.



Qualifications:



Associates degree and 2-3 years of experience or equivalent combination of education and experience is required. Bachelor's degree in accounting field is a plus. Strong attention to detail; willingness to ask questions in order to understand the business being conducted; ability to handle multiple competing deadlines.
