The Graduate Medical Education (GME) Office is seeking an Administrative Services Coordinator to provide administrative and operational support to residents, fellows, Director of GME, GME Office staff, Program Directors, and Program Coordinators across a broad spectrum of GME activities. This position performs administrative HR functions that require discretion, independent judgement, and attention to detail. Maintaining confidentiality is critical.
Duties to include:
Support the daily operations of the GME Office and assist as needed with a large variety of GME projects and activities as they arise
Perform multiple required onboarding activities for GME staff and 250 house staff annually including but not limited to: MedHub/employment records, background checks, loan deferment forms, contracts, HR appointments and I-9s, parking, primary source verifications
Assist in the maintenance, organization, storage and retrieval of training and employment records and other files
Address issues present in MedHub regarding scheduling and demographic error reports
Initiate HR transactions and ensure guidelines and policies are followed
Provide assistance and expertise with respect to visas, benefits and other inquiries regarding human resources

About Graduate Medical Education:
The mission of our Graduate Medical Education (GME) enterprise is to foster excellence in the education of the next generation of exceptional physicians. In concert with the Graduate Medical Education Committee (GMEC), the Associate Hospital Director and Associate Dean for GME, the Program Directors, Program Coordinators, and the GME staff oversee and manage the education processes and initiatives for more than 100 GME medical residencies and fellowships which are populated by more than 800 physician and dental learners.
Required Qualifications
A Bachelor's degree or appropriate combination of relevant experience and education
Ability to interpret, apply, and communicate policies, rules, and standards
Significant experience working collaboratively with leadership and support staff (e.g., DEOs, CDAs, program staff, GME Office)
Excellent interpersonal skills with the ability to communicate effectively (verbally and written) at all levels of the organization
Demonstrated ability to work autonomously, maintain confidentiality, prioritize tasks, and meet deadlines while possessing a strong attention to detail
Proficiency in computer software applications and office support tools available (e.g., MS Office, email, presentation software and spreadsheets).
Desired Qualifications
Experience training others on work processes
Knowledge or experience in GME
Experience as a Program Coordinator for a residency and/or fellowship
Experience working in an HR information system (HRIS)
Ability to track, produce, analyze, and depict quantitative and qualitative operations data
