Student Hiring Coordinator – Talent and Organizational Development at University of Oklahoma in Norman, Oklahoma

Job Description:

This Senior Administrative Support Specialist is responsible for the coordination and execution of all Food Services student employee hiring, will serve as the Room and Board Work Program Coordinator, will represent the department of University Operations at employment recruitment events, and will complete essential administrative and clerical duties to advance the department. Exceptional customer service is a requirement of the position. With training, this person must be able to answer routine questions from students and their families about employment opportunities and expectations. Must have the ability to learn, retain, and apply personnel policies and human resources adminstration procedures, as well as the ability to problem solve. Communication with campus users is a large part of this position, and this person must have the ability to effectively communicate with assorted audiences via email, phone and in person. 

This position will report to the Directors of Talent and Organizational Development for University Operations. This position will frequently interact with OU Payroll, Operations Finance Payroll and other units. 

Primary Duties and Responsibilities:


  • Maintain a shared OU inbox and accurately respond to messages in a timely manner.

  • Assist employees and community members will questions regarding their paystubs, new hire paperwork, and the Room and Board Work Program requirements.

  • Keep and accurately maintain assorted clerical records to include but not limited to compliance/verification tracking and light duty work acknolwedgements, as well as document scanning into Laser Fiche. 

  • Maintain confidentiality and professionalism at all times. 

  • Create documents and graphics with information about student hiring as well as Room and Board Work Program requirements.

  • Maintain accurate Room and Board Work Program roster. 

  • Communicate professionally and timely with potential employees and campus departments, including but not limited to - Housing, Food Services, Admissions and Recruitment, Financial Aid, and OU Money Coaches.

  • Maintain the applicant pools within the OU job posting system.

  • Coordinate new hire paperwork appointments and verify completion of new hire packets for Food Services student employees and other employees as business needs deem necessary. 

  • Submit electronic status forms to confirm student employee status to Operations Finance Payroll (hiring, promotions and terminations).

  • Create and present department-specific trainings as instructed.

  • Other related duties as assigned.

 

Required Education: High School Diploma or GED, AND: 


  • 24 months of office, clerical or administrative experience. 


Skills:



  • Knowledge of office procedures



  • General office and customer service skills



  • Ability to work independently and as a team player



  • Basic math skills



  • Ability to complete tasks in an efficient and timely manner



  • Must be detail oriented for accuracy of data and information



  • Must be able to analyze needs and develop action plans, and coordinate with appropriate personnel as required.



  • Ability to multi-task, be organized, and self-motivated



  • Ability to work in stressful situations



  • Ability to communicate verbally and in writing


  • Highly organized and able to produce reports and handle multiple projects and deadlines

Certifications:



  • Ability to acquire notary certification within 30 days of hire



  • Valid driver's license

Department Preferences:


  • Previous professional experience in Student Affairs

  • Proficiency in Microsoft Excel

  • Previous professional experience completing new hire packets with large numbers of new employees

  • 12 or more months of professional experience in any Human Resources capacity

  • Bachelor's Degree in Human Relations, Education, Business, or similar.

Supervision: Will report to the Directors and may supervise a student employee.
