POSITION SUMMARY:


The Financial & Administrative Manager - Property Development role at Ocean State Job Lot (“OSJL” or “Company”) is responsible for providing financial expertise and support to the Property Development team while ensuring accurate reporting and transactions. This role oversees the work of accounting associates, performs construction, property management, store maintenance and energy accounting duties, creates and reviews budgets and reporting, manages labor time tracking and tenant utility billing. This role also supports all divisions within the property development department.


ESSENTIAL DUTIES AND RESPONSIBILITIES:



  • Manage accounting associates within Property Development. Monitor performance, write reviews, as well as provide coaching and feedback. Delegate tasks and follow-up with team members to confirm timely completion.

  • Assist with hiring new team members, provide training, and act as a mentor to develop associates.

  • Assist with property repair and maintenance budget creation and reviews. 

  • Support property managers and construction project managers with reviewing and collecting information for budget variances.

  • Oversee tenant utility billing, creating invoices and reviewing discrepancies with property managers.

  • Utilize and administer our construction management software to create and manage financials for construction projects.

  • Properly close out construction projects. Reconcile and close all open purchase order balances. 

  • Review and reconcile project change requests. Actively participate in cost report reviews.

  • Oversee documentation and compliance for subcontractors and vendors.

  • Utilize our work order management software for financial reporting.

  • Oversee labor time entries for property development associates through our labor tracking software including. but not limited to, adding new properties, setting up associates, reviewing and correcting classifications, exporting system data, and importing as journal entries to other financial software. Run reports and analyze data from time tracking software.

  • Complete special projects for the Property Development team and other internal stakeholders as requested.

  • Serve as liaison between the Property Development and Corporate Finance departments.

EDUCATION AND EXPERIENCE REQUIREMENTS:



  • Bachelor’s degree in accounting, finance, or a related field is required.

  • 5 or more years experience in a construction related field is required.

  • 2 or more years of supervisory experience is preferred.

  • Experience with accounting principles and standards.

  • Knowledge of property management duties, common area maintenance billing, tenant leases, and tenant accounts receivables.

  • Experience with computer software dedicated to lease accounting and work order management. Experience with MRI Manhattan and Oracle is preferred. 

  • Experience with time tracking and job costing software such as mJobTime, Tsheets, or other financial software is preferred.

  • Highly proficient in MS Excel and Google platform (i.e., Sites, Slides, Drive, Docs, Sheets).

  • High level of ethical behavior.

WORK ENVIRONMENT:



  • Works primarily in a climate controlled environment with minimal safety and health hazard
    potential. 

  • Works in an office environment remaining stationary at a desk, table, or computer workstation for extended periods of time. Frequently uses near vision for reading and computer tasks.
