Provide overall administrative support for terminal to include: correspondence, creating and maintaining files, maintaining and ordering office supplies and equipment, reception duties, opening and distributing mail, and coordinating meetings.
JOB RESPONSIBILITIES:
Distribute and oversee invoices to ensure timely return to accounts payable
Reconciliation of P-Card Statements
Retrieving, separating and delivering mail. Preparing for next day (postage, certified)
Preparing paperwork associated with UPS/FexEx etc.
Answering phone
Assisting customer service with the filing and retention maintenance of documents
Prepare and submit expense reports
supports NER training efforts as directed
Maintain service contracts and supplies for office machines (i.e., copier, fax, mail, etc.)
Update local lists of personnel to regulatory agencies, customers, vendors, etc.
Maintain needed supplies, order items as directed by terminal staff.
Ability to verify "receipt of purchased items" prior to or after unloading of materials
Support locally IT department with Office set ups.
Other duties as assigned.
Position Requirements
Education
HS diploma or equivalent.
Experience, Specific Knowledge, Certification, Licenses
3-5 years administrative work experience in a Liquid or Bulk Terminal office environment
Competencies/Skills
Must have strong organizational skills.
Strong verbal and written communication skills are required.
Must have strong computer skills, including, but not limited to MS Office and Lawson. Office environment.
Strong customer focus.
Ability to learn site specific computer systems.
Ability to handle large volumes of detailed data and established systems.
Proficiency in mathematics
Working Conditions
May be required to work overtime to meet the needs of the terminal.
Able to work in a fast paced, stressful environment.
